Office Support Specialist II-Cheyenne

The Wyoming Department of Agriculture is seeking an Office Support Specialist II for it’s Consumer Health Services Division. This position administers the food, pool and spa licensing database, processing licenses and renewals, handles accounting procedures and fee distributions; coordinates meat program data including collecting monthly slaughter and processing data from field inspectors and generates monthly and / or quarterly reports for local and federal agencies; enters weekly activity reports into a database and generates a quarterly report; maintains sick and annual leave records; coordinates staff inventory; sorts mail for management staff and performs other administrative functions; designs and produces brochures and semi-annual newsletter; sets logistics for staff meetings, workshops, and task force meetings; receives and disseminates calls from the public; writes letters to delinquent licensees; works closely with local health departments on licensing issues and public calls.

Administrator of the inspection program data base.

Maintains databases for licensing and required reports.

Performs executive-level administrative and support duties.

Plans meetings.

Responsible for program integrity assurance.

Provides a review and evaluation function to ensure that compliance issues/concerns within the organization are being appropriately evaluated, investigated and resolved.

Request and receive bid quotes, researching and resolving issues with vendors.

Creates and edits reports & documents for management.

Manages schedules and timelines for managers.

Management and oversight of all office equipment and supplies.

Responsible for processing, maintenance, and quality control of records and documents.

Performs program and/or fiscal duties.

Coordinates program functions between a variety of sources

Compiles vital information.

Acts as a resource to provide information or interpretation of agency specific rules/regulations to staff, public or other government entities, and/or to determine the most effective way of meeting the needs of management, staff, clients or customers.

Qualifications

PREFERENCES:
Preference may be given to applicants with an Associate’s degree (typically in Business or Office Management) plus 1 – 2 years of progressive work experience (typically in Business or Office Management).

KNOWLEDGE :
Knowledge in applicable computer applications.

Knowledge of records processing and maintenance procedures and systems.

Knowledge in the preparation of complicated documents.

Knowledge and understanding of the agency, and each respective division/program.

Knowledge of investigating alleged non-compliance.

Knowledge of project management.

MINIMUM QUALIFICATIONS:
Education: Associate’s Degree (typically in Business) PLUS Experience: 0-2 years of progressive work experience (typically in Business Office communications) with acquired knowledge at the level of a Office Support Specialist I OR Education & Experience Substitution: 2-4 years of progressive work experience (typically in Business Office communications) with acquired knowledge at the level of a Office Support Specialist I Certificates, Licenses, Registrations : None

Necessary Special Requirements

PHYSICAL WORKING CONDITIONS :
Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.

Special physical demands are not required to perform the work.
