Performs a variety of administrative duties at an independent level as a member of the college Human Resources team; processes complex documents for conformance to policy & procedure; routinely deals with highly confidential information and sensitive situations; works with diverse population of students, staff, faculty, administrators, students and the public; and respond to more difficult inquiries and/or operational questions that do not require the attention of the Sr. Manager.

Essential Functions

35% – Processes a variety of confidential Human Resource documents for new and current employees and enters employee data into online systems with a high degree of accuracy; updates HR materials and composes routine correspondence; establishes, audits, and maintains personnel records with a high degree of accuracy; interprets Human Resource policies and procedures and disseminates information to management and employees; responds to management and employees on questions related to federal/state Human Resources legislation and college Human Resource processes.

25% – Communicates and applies college and district employment policies and procedures, and state and federal employment rules and regulations; assists department managers as needed; processes and monitors a variety of confidential Human Resources data requests and payroll documents for new and current employees; reviews and monitors paper and online HR documents; verifies documents for accuracy and compliance with federal and state guidelines and District policy.

40% – Provides general administrative support to Sr. Manager; coordinates services such as printing and word processing with other departments; prepares records for storage or destruction and files a variety of documents, both electronic and hard copy; performs purchasing functions for department, and performs other duties as assigned.

Minimum Qualifications

Associates degree and one (1) year experience or equivalent. Administrative support of one (1) or more years’ to HR managers which includes but is not limited to; general office duties, file management, scheduling, multi-line phones and office supply management. Experience working with computer software programs such as MS Office, HRIS systems and other online HR related systems for the purpose of producing letters, queries and data base reports. Experience working with general HR inquiries’ and familiarity with the forms for topics such as; leaves, time management, workers’ compensation and employment verifications. Excellent customer service interactions as evidenced by detailed examples of at least three (3) encounters.

Desired Qualifications

Exhibits sound judgment and discretion in receiving and acting upon confidential information as evidence by at least three (3) examples. More than three (3) years’ experience working in a high volume, multi-function HR environment in a support role. Experience working with online HRIS software, such as Human Capital Management (HCM) and accounting software, such as Financial Management System (FMS). Experience prioritizing and monitoring a high volume of HR interactions for two (2) HR managers. Advanced professional experience with MS Office and data management software to include data retrieval, analysis and reporting. One (1) or more years’ work experience in Higher Education. Strong written communication skills including proper English, grammar, spelling, and vocabulary and sentence structure as demonstrated in the cover letter.

Will be required to travel or be assigned to all MCCCD/GCC locations. May require numerous evenings or weekends. May require prolonged periods of viewing a computer screen. May be required to lift or carry up to #40 lbs.
