A&R Coordinator

THIS POSITION IS TEMPORARY, 3rd PARTY, FULL-TIME SCHEDULE, located in MIAMI. The primary role of the A&R Coordinator for US Latin is to function as a departmental assistant providing administrative support to the A&R executive staff, using the department’s various systems and a high degree of teamwork.

Responsibilities:

  • Set up projects in Workflow system and handle modifications and follow-up tasks.
  • Document departmental procedures.
  • Assist in ensuring that producer agreements and letters of direction (LODs) are received and communicated to departments handling royalties & copyrights.
  • Create and maintain an A&R directory addresses and contacts for producers and songwriters that the label works with.
  • Schedule all studio time, engineers, equipment rentals, mixing, and mastering.
  • Arrange travel bookings.
  • Order reference masters for delivery and approval when recordings are completed.
  • Coordinate the transfer of files, tapes, and materials to and from studio producers.
  • Collect deliverables (physical assets or information) including royalties, copyright, masters, edits, audio, video, label copy, licenses, clearances, agreements, and other related information.
  • Follow up with Production department and A&R Administration regarding:
    • Purchase orders to vendors and that vendors have been paid.
    • Collection of union (AFM/AFTRA) materials and completion of union contracts.
    • Tracking of all recording costs as projects progress.
  • Maintain spreadsheet of remixes and remix artists for when other departments or countries need remixes.

Qualifications:

  • Minimum 2 years’ administrative experience coordinating projects and a solid understanding of various administrative processes
  • 1-2 years of A&R Administration experience preferred
  • Four-year degree a plus or; equivalent experience will be considered
  • Must be savvy and proficient with PC and Mac computers including Word, Excel, PowerPoint, and Keynote
  • Knowledge of digital platforms such as Spotify, iTunes, YouTube, and Google Play.
  • Previous experience using internal Sony systems a plus but not required.
  • Knowledge of audio files including wavs & mp3s and knowledge of recording systems (e.g. Pro Tools, Logic, etc.)
  • Must be bilingual (English/Spanish)
  • Strong communication skills to quickly develop effective working relationships
  • Track of being a strong team player and able to work effectively across departments.
  • Demonstrated record of being a fast learner and open to learning new processes.
  • Requires strong decision making & problem solving skills when dealing with artist/producer management, travel arrangements and booking studios
  • Must possess an ability to prioritize and differentiate with multiple pressing situations that would require immediate action
  • Ability to follow through with projects in a timely manner
  • Organizational skills and attention to detail
