Administrative Assistant – Immediate Hire

POSITION REQUIREMENTS:

  • Strong attention to detail and excellent organizational skills.
  • Ability to write, speak and interact clearly and professionally.
  • Proficient in Microsoft Word, Excel, Email and internet research.
  • Energetic phone presence and solid understanding of phone etiquette.
  • Resourceful problem solver, strategic planning and quick decision-making.
  • Assimilates quickly in transitions, switching roles to maintain productivity and efficiency.
  • Ability to work effectively in a team environment and maintain professionalism and a positive attitude at all times.

POSITION RESPONSIBILITIES:

  • Answer phones and assist customers+vendors with any questions.
  • Create weekly email marketing campaigns to send out to customers.
  • Conserves executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Maintain executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Provides historical reference by developing and utilizing filing and retrieval systems.
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies. P lacing and expediting orders for supplies; verifying receipt of supplies.
  • Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Help manage Accounts Payable/Receivable. Prepare reports by collecting and analyzing information. Research account transactions and resolve any discrepancies.
  • Negotiate and enforce collections to recover funds and expedite the clearance on delinquent accounts.
