Social Media and Public Relations Assistant

The College of Arts & Sciences Performing and Fine Arts Division is now accepting applications for the Social Media & Public Relations Assistant hub staff position. This position is crucial to the effective functioning of the Performing & Fine Arts Administrative Hub, serving the Departments of Art, Music, Theatre & Dance. This is a 12 month, full-time position which requires a flexible work schedule for special events. This position will serve on the divisional team as the Communications Specialist.

This is a customer service position, that will perform a variety of routine communication assignments in support of specific programs, projects, events, or organization functions. This may include; uploading prepared content to web sites and maintaining them, assisting with graphic/photographic/audio production, gathering supporting documentation for news releases and other outreach material, and providing technical communications support.

Knowledge/Skills/Abilities
Experience developing marketing, branding and advertising campaigns. Skilled in graphic design for posters, performance programs, electronic and print ads. Working knowledge of graphic design software. Experience with photographing production shots.

Experience working with advertising vendors and getting quotes, drawing up contracts, setting schedules, monitoring deadlines, getting production shots, and developing rotating ads for various media. Experience with Social Media platforms.

Experience scheduling and coordinating all details associated with productions, performances and special events. Ability to understand and coordinate all the elements and roles required to complete a project.

Must have exceptional customer service and interpersonal skills and a professional demeanor in person and on the phone to work with people in all roles of a production, including the director, performers, advertisers, and production support staff. Knowledge of public relations and community networking methods and standards.

Ability to organize and pay attention to details, ability to follow through, use time wisely, and follow up on tasks. Provide support to and/or coordinating special events such as productions, performances, galleries and more.

This position will require working some evenings and weekends. Flexible schedule may be used during work week to accommodate evening and weekend hours as needed.

Working knowledge of web site maintenance, web page design, and social media outreach skills. Ability to write public interest stories. Knowledge of UAA policies and procedures.

Typical Education/Training/Experience:
Bachelor’s degree in Public Relations, Journalism, Communications or related field and one year relevant experience or an equivalent combination of training and experience.

    20 Box Office Ticketing
    – Create events and ticketing options for each event and performance in Vendini.
    – Collect/maintain list of comp tickets recipients.
    – Extend personal invitations to select individuals to attend productions and performances.
    – Monitor early-bird ticketing options for each production or performance.
    – Maintain contact and address the needs of season ticket subscribers.

    35 Social Media and External Outreach
    -Help coordinate marketing, branding and advertising campaigns for the Performing and Fine Arts division.
    -Prepare newsletters, flyers and other materials for dissemination to external audiences.
    -Electronic media updates on web, Facebook, Tumblr, and YouTube.
    -Design and update department webpages.
    -Initiate, produce and generate public interest stories that are newsworthy for dissemination to promote external outreach and public relations.
    -Raise awareness of UAA”s Fine and Performing Arts programs through the overall promotion of fine arts department events.

    40 Production, Performance, and Event Point of Contact
    -Coordinate established timelines and deadlines with divisional staff and faculty. Check in with various staff involved in support of productions, performances and events to assist with timely completion of tasks. Make sure promotion of the production runs to schedule and report to interested parties on progress.
    -Troubleshoot any production, performance or event problems.
    -Monitor production and performance details for compliance with licensing agreements.
    -Photograph production shots during select rehearsals, performances, events, and openings for advertising, publicity, and social media purposes. Gather photos and event details from directors, performers, and other production personnel to develop publicity for specific performances, productions, and events.
    -Maintain detailed files of event programs, photographs, press releases, news articles, and other items associated with the fine arts departments.
    -Coordinate ushers for ticketed performances.
    -Provide post event PR and ticketing reports to the Associate Dean and Department Chairs. Essential
