Payroll Compliance Specialist

Summary Compiles payroll data to maintain payroll records by performing the following duties:

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Receives and monitors Wage Attachments/Garnishment set-up and ensures timely and accurate submission to ADP including reconciliation for payment disbursements

Performs daily tasks related to ADP/TWN for employment verifications

Submits daily Direct Deposit and Positive Pay files to bank following finalization of pays.

Submits file to Treasury for Expat Int’l wires following finalization of pays.

Generates third party check requests and obtains appropriate approvals prior to submitting for payment processing i.e. United Way

Performs tasks to maintain employee payroll records for special compliance payments, income or deductions.

Ensures compliance for Lump Sum Payments related to Garnishments i.e. Bonuses and updates HCM with appropriate elements.

Processes approved payments, deductions, taxable benefits, such Club Dues

Performs bi-weekly tasks related Bank Transit Table Update

Performs bi-weekly tasks related to New Hire Reporting

Performs bi-weekly tasks related to Social Security Verification (SSNVS)

Preforms weekly tasks related to Termination Reporting to State

Coordinates activities related to Record Retention and ensures files are in compliance with legislative requirements

Works with Payroll Administrative assistant in retention of documents and purging files as required

Balances and reconciles inputs and outputs; researches and resolves out of balance situations

Performs system testing as needed

Completes monthly BLS (Bureau Labor Statistic) reports

Processes Stop payments, reversals and void checks as needed.

Follows procedures and guidelines set by Supervisor

Maintains all related documentation associated with position

Performs Back-up tasks as requested by Supervisor

Qualifications

Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and/or Experience

Associate’s degree (A. A.) or equivalent from two-year College or technical school; or three to five years payroll related experience and/or training; or equivalent combination of education and experience.

Mathematical Skills

Ability to calculate figures and amounts such as earnings, deductions, impact of pretax deductions taxable wages, imputed income, mandatory vs. voluntary deductions, percentages, overtime.

Reasoning Ability

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations

Computer Skills

To perform this job successfully, an individual should have knowledge of principles of payroll accounting, payroll system, HR system, Internet software; Spreadsheet software and Word Processing software.

Other Skills and Abilities

Ability to understand payroll principles, gross to net calculations, “gross ups,” multi-state taxation, impact of payments on taxation and other mandatory withholding.

Certificates, Licenses, Registrations

FPC preferred.
