National Sales Support & Events Coordinator

The Sales Support & Events Coordinator will start with providing a one of a kind customer experience and is an enthusiastic professional who is comfortable speaking in public, and is able to build relationships with internal and external customers. You can work independently or within a team, and always manage to get the job done. Must be comfortable in a fast-paced environment since you will be assisting with new branch onboards along with event set-ups.

Requirements PRINCIPAL FUNCTIONAL RESPONSIBILITIES:
Coordinate new candidate visiting corporate headquarters. Duties include but is not limited to the following:

Coordinate airfare, hotel and transportation reservations

Make reservations for group lunch or dinners

Schedule meetings and/or calls with senior management and department managers

Prepare itineraries for visit

Escort candidate(s) from meeting to meeting

Prepare new candidate visit booklet

Assist with oversight of new branch onboards and maintains statuses on items needed for onboarding a new branch — these items include but are not limited to:

Tracks status of candidates throughout the new hire process

Set-up new branch onboarding conference calls

Follow-up with various departments on status of pending tasks

Submit and track hardware requests for new branch hires

Coordinate new manager training

Register each trainee

Coordinate airfare, hotel and transportation reservations

Maintains team’s new hire onboarding calendar

Maintain and distribute emails to new hires

Assist with the coordination of New Hire Welcome calls

Facilitate “ad hoc” day-to-day administrative requests from Retail Production Management that includes but not limited to, creation of meeting PowerPoint presentations, consolidating/formatting excel spreadsheets and transient travel arrangements.

Manages the organization of retail group conference calls, meetings and develop meeting minutes

Act as a knowledge resource for company policies and procedures

SECONDARY FUNCTIONAL RESPONSIBILITIES:
Assist with the organization of conference calls and meetings

Assist with the coordination of tradeshows and special events

Assist with the management of database and registration process, including on‐site registrations; to assure accurate registration data, name badges, counts for specific events, etc.

Assist with the coordination of all special activities held in conjunction with events.

Assist with all logistical details of events including uploading presentations, room set‐up, transportation, etc.

Assist with the management of the promotional aspects of events including, but not limited to the following:

Create content for event materials

Accuracy of promotional materials prior to distribution (i.e. attendee brochure, on‐site program, etc.)

Assist with ordering of marketing collateral (signage, business cards, decals, etc.)

Assist with the management of the team’s inventory (promo items, supplies, backdrops, awards and other display materials)

Coordinate incoming & outgoing shipping of collateral

Responsible for ensuring all materials arrive back to the office after events and are properly disseminated to staff responsible for those items.

Manage online photo album

Coordinate travel arrangements for events and tradeshows

Locate hotel and restaurant options for regional holiday events

On-site execution (if applicable)

Set-up of exhibit / table (if applicable)

MINIMUM QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Minimum 2+ years experience in customer service or related

Associate’s or bachelor’s degree or related field or equivalent experience

High level of proficiency with Microsoft Word, Excel, PowerPoint and Outlook

Strong calendar managements skills

Proven ability to build relationships; excellent customer service skills

Well organized with excellent follow through

Ability to prioritize and handle multiple tasks effectively

Strong attention to detail, grammar and writing skills

Ability to interface with personnel at all levels directly

Ability to exercise discretion and independent judgment

Excellent note taking skills

Competent at understanding company policies and procedures

Aptitude for learning quickly

WORK ENVIRONMENT:
This job operates in a professional office environment. This role routinely uses standard office equipment.

POSITION TYPE/EXPECTED HOURS OF WORK:
This is a full-time position. Days and hours of work are Monday through Friday, 8:30am to 5:30pm.
