Main Function/Position Summary

As directed, performs a variety of mail and clerical duties.

PRINCIPAL DUTIES AND RESPONSIBILITIES:
1.

Works under the supervision of the Assistant Project Manager.

The Mail Room Clerk will act independently or assist in the performance of any and all duties necessary to keep the facility in full operation.

Will perform other duties as assigned.

The duties listed below are not set forth for purposes of limiting the assignment of work.

They should not be construed as a complete list of the various duties normally performed by the individuals assigned or those to be performed temporarily outside an employee’s normal line of work.

A)

Opens incoming mail and physically inspects contents.

B)

Follow security procedures for confiscation of contraband and notification of appropriate institutional staff for investigation.

C)

Operates postage machines (e.g. postage scale, meter machine) to process incoming/outgoing mail.

D)

Sorts mail for most efficient handling.

E)

Determines class of mail; set postage meters.

F)

Date and time stamps.

G

Opens, bundles, addresses and completes documentation associated with special mail handling (e.g. certified return receipts).

H)

Ensures prompt handling of all mail and packages on a daily basis, especially the time sensitive documents that could have impact on legal notifications.

I)

Receives and process delivery to and from main lobby.

J)

Delivers to appropriate office and/or picks up mail, parcels and/or messages.

K)

Maintain all records needed for mailroom.

L)

Receives and process all Incoming and Outgoing UPS, FedEx and USPS packages.

M)

Log packages in Excel (to be printed and signed upon delivery).

N)

Notify recipients of incoming mail/ packages.

A)

Work is completed in a priority established by supervision or facility need.

All work will be completed with a high degree of professionalism, quality and craftsmanship.

B)

Lulls in workload are used to maintain a clean and orderly work area and to insure clerical tasks are up to date.

Keeps up to date on departmental and facility safety standards and local codes and policies.

KNOWLEDGE, SKILLS & ABILITIES:
·

Computer experience a plus.

·

High School Diploma or GED required.

·

Familiar with corrections operations, federal and state requirements and the treatment of detainees.

Qualifications

MINIMUM QUALIFICATIONS:
·

US citizen or a person lawfully admitted into the United States for permanent residence and have resided in the U.S. for the last five years

·

High School Diploma

·

1 Year Experience working in mailroom /shipping.

·

Pass a criminal background and consumer credit check (no criminal record)

·

Obtain and maintain a DHS/ICE government clearance

·

Pass all pre-employment and random drug tests

·

At least 21 years of age

·

Possess a valid state driver’s license

·

The incumbent must have a minimum of one year of experience

·

Knowledge of day-to-day operation of a mailroom department

·

Maintain confidentiality

·

Possess a high degree of integrity, accountability and adhere to the American Correctional Association and DHS ICE standards

·

Demonstrate an ability to work with a diverse population of people, including people of different cultures, with different values and lifestyles; with a cross cultural perspective

·

Maintain current/physical residence in the continental United States

WORKING ENVIRONMENT:
Work areas may include all areas of the warehouse and facility. Majority of work in air conditioned facility.

PHYSICAL DEMANDS:
May lift or push up to 50 lbs.

For extended periods of time may be required to stand, walk, squat, kneel, sit, bend, reach and climb. Work areas include all parts of the facility and may require outside exposed to weather.

SCHEDULE:
Monday-Friday 8:00-5:00pm pending government or Company needs.
