    Summary

    This position serves as an Executive Assistant in the Office of Cuba Broadcasting (OCB) in the Director’s Office, responsible for a network of contacts with other OCB and other Broadcasting Board of Governors (BBG) elements, requiring the highest level of confidence and trust.

    INTRODUCTION TO AGENCY: The Broadcasting Board of Governors is an exciting, multi-media, multi-cultural, global media agency that carries out all United States civilian international broadcasting. Our media networks complement and reinforce one another in a shared mission vital to U.S. national interests: to inform, engage, and connect people around the world in support of freedom and democracy. Our staff of dedicated professionals serve as an example of a free and independent media, bringing news, information, and relevant discussions to a weekly audience of over 278 million people worldwide in over 60 languages via radio, television, Internet, and social media.

    BBG media networks include the Voice of America and the Office of Cuba Broadcasting (Radio and TV Marti) and three grantee organizations: Radio Free Europe/Radio Liberty, the Middle East Broadcasting Networks (Alhurra TV and Radio Sawa), and Radio Free Asia.

    Responsibilities

    Duties include, but are not limited to:

    • Incumbent is responsible for the supplies and basic administration matters of the Director and subordinate staff’s immediate office, including correspondence control, preparation of responses to information or action requests from top management, travel arrangements, and recommending solutions to problems of an administrative nature.
    • Assures that services, documentation, and equipment, necessary for the Director and the Staff Director’s work are provided.
    • Oversees the appointment schedule for the OCB Director and Staff Director determining the priority and importance for such appointments, and providing essential background information.
    • Arranges meetings with high level officials of the OCB, BBG and other government agencies and outside private interests, and assures that officers invited are properly informed as to the purpose of meetings and supplied with the necessary background information. Upon requests, attends meetings to keep abreast of issues, to take notes and to prepare summaries for distribution to interested officials.
    • Use of the Spanish language assures calls, visitors, and correspondence to the office are screened properly, inquiries are answered efficiently or referred, and appropriate calls and matters are brought to the attention of the Director and/or Staff Director.
    • Researches background information on various administrative matters for the attention of the Director and Staff Director. Responds to inquiries and administrative problems with limited supervision or follows-up to ensure a timely response by others.
    • Represents the Director and Staff Director in dealing with officials at all levels, both in government and private industry, providing coordination in any and all non-technical areas. Contacts officials in OCB at all levels on a wide variety of issues.
    • Incumbent drafts letters, memos, and reports; proofread prepared materials for accuracy. Prepares PowerPoint presentations with texts, graphics, and charts. Handles WebTa matters for OCB Senior management.

    Qualifications

    Applicants must have one year of specialized experience equivalent to the next lower grade level, which is directly related to this line of work, and while Spanish language is desired, it is not required.

    Specialized Experience: is experience that has equipped the applicant with the particular knowledge, skills and abilities to successfully perform the duties of the position. Examples of some of this experience includes, an ability to coordinate effective internal processes; ability to serve as a coordinator for officials within the agency, government and private industry; knowledgeable in researching various administrative matters and responding to requests from the Director, staff and management officials; ability to communicate clearly with officials, staff and dignitaries; and demonstrated ability to communicate orally and in writing in order to provide advice, guidance and recommendations concerning administrative and management matters.

    Education

    OR Education: Ph.D. or equivalent doctoral degree OR 3 full years of progressively higher level graduate education leading to such a degree OR LL.M., if related.

    OR Combining Education and Experience: Equivalent combination of successfully completed education and experience may be used to meet the experience requirements.
