As a Mail and File Clerk for the Deputy Assistant Secretary for Finance, Debt Management Center, St Paul, MN you will:

Review incoming miscellaneous materials including mail, publications, directives, etc., performs presort into action and information categories; reads action material and routes non-control items to appropriate unit or units by technical subject-matter content.

Determine full routing, number of copies required, and assigns due date in consideration of amount of time allowed by originator for reply.

Maintain suspense date for replies and follows up on over-due correspondence.

Responsible for opening, dating, and the initial sorting of incoming correspondence properly identifying appropriate category type

Process incoming and outgoing mail and teletype messages in accordance with agency and postal service requirements.

Establish new (or updates old) distribution patterns and codes; maintains suspense files for follow-up after assigning; and performs similar related duties.

Analyze materials to identify primary subject matter and assigns proper classification from among numerous overlapping possibilities.

Screen and separate materials related to, special projects and programs.

Conduct searches for reference materials and research to find information related to specific cases, considering all possible avenues of approach or reasons why desired information may not yet be in the files.

Ensures outgoing correspondence is organized accurately when preparing and programming documents promptly for mail metering machines.

Incumbent ensures outgoing mail is properly addressed.

Transport personnel, equipment and/or supplies from the designated work site to an alternate work site or destination via government issued vehicle.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

To qualify, applicants must have one year of specialized experience equivalent to at least the next lower grade ( GS-04 ) in the normal line of progression for the occupation in the organization. Specialized experience is defined as work that involves (1) Skills in prioritizing and analyzing a number of concurrent tasks. (2) Opening, dating, and initial sorting of incoming correspondence. (3) Experience in analyzing various documents and routing them to the proper unit or office. (4) Processing records. (5) Organizational and analytical skills in order to ensure that the proper evidence/documents is/are associated with the correct electronic folder. (6) Proficient with US mail processing to include use of Pitney Bowes postage machines. (7) Knowledge of equipment set up, adjustment, operating procedures, and corresponding levels of skill to set up, operates, and adjust the equipment.

Applicants may also combine education and experience to qualify. To calculate, first identify the percentage of required education you have earned. When substituting, you cannot use the first 60 semester hours that you earned. Then identify the percentage of required experience you possess. Add the two percentages. The total percentage must equal at least 100 percent to qualify at the GS-05 . For example, an applicant who has 75 semester hours of education (i.e. 15 semester hours beyond the second year, which is the equivalent of 25% of the required education) and has 9 months of specialized experience, would have the 1 year combination required for the position.

Physical Requirements: The work is sedentary.Typically, the employee may sit comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; driving an automobile, etc. No special physical demands are required to perform the work.
