University Program Associate

Essential Job Duties

This University Program Associate provides professional administrative and programmatic support, performs building liaison responsibilities, reception, and basic technical/IT support for the Kenan Institute and its incubated programs such as the Kenan Fellows Program as well as other offices within the KIET’s suite.

Primary responsibilities include:

• Providing administrative support to include receiving calls and emails from a variety of individuals that range from university departments to government officials. Serving as travel coordinator for employees of KIETS . Assisting with organizing Kenan Institute files and documentation. Providing calendar/scheduling assistance for employees of KIETS . Serves as back-up to the Business Officer for financial support; reconciles purchasing card.

• Serving as the building liaison, handling a wide variety of requests and issues at the Hunt library relevant to the Kenan Institute’s suite and other tenants in the suite. Issues may include security access and maintenance issues to be reported.

• Assisting Kenan Institute staff with organization for Kenan Institute meetings and events.

• Providing IT support and liaising with the Office of Information Technology for all computer/software related issues for the staff of the Kenan Institute and the KFP program. Assisting the Kenan Institute’s Associate Director and Kenan Fellows Communications Manager regarding maintenance of the Kenan Institute’s web site in coordination with OIT . Supporting staff computer skills, providing guidance, training, and troubleshooting issues with software such as Excel, Word, Gmail and other on-line apps, and assisting with the update of all electronic documentation as needed.

• The University Program Associate maintains Kenan Institute’s supplies and equipment including office supplies, kitchen supplies, kitchen equipment (coffee makers, dishwasher, refrigerator) and disposables, and business equipment such as laptops, printers, conference room equipment necessary for the effective implementation and execution of Kenan Institute activities and programs. This position will be responsible for coordinating and maintaining coffee, water, drinks and other consumables for visitors to KIETS .

• Other duties and responsibilities required to support the core functions of the office. KIETS is a small, lean organization which requires staff to be flexible to assume tasks and responsibilities as occasions arise. These tasks may be administrative or may require more in-depth assistance such as fiscal and/or extensive coordination of events, etc.

Other Work/Responsibilities

Minimum Experience/Education

Bachelor’s degree; or an equivalent combination of training and experience.

All degrees must be received from appropriately accredited institutions.

Departmental Required Skills

Excellent communication and interpersonal skills with the ability to communicate technical information in a usable format for a variety of individuals.

Capabilities with IT/computers to include basic abilities to troubleshoot computer issues and strong knowledge of generally used software packages relevant to the university (i.e. Microsoft Office Products, Google email and calendars, etc.).

Strong organizational and time management skills.

Ability to perform administrative/programmatic support functions such as assisting with events coordination and logistics; basic bookkeeping/ accounting; and following established policies and procedures related to the core functions of the position such as travel and purchasing policies.

The ability to maintain a professional environment to KIET’s Administration’s needs/standards for business.

Preferred Experience, Skills, Training/Education

  • Experience with NC State policies, procedures and systems is strongly preferred.
  • At least three years of office support.
  • Professional knowledge of accounting and financial functions.
  • Experience with Excel, Word, Gmail, etc.
  • Communication skills with the ability to tutor staff in using computer applications.
  • Knowledge and experience in viedoconfercing.
