Surgery Scheduler Coordinator – CPG ENT at Egleston

JOB SUMMARY

Coordinates the administrative duties relevant to surgical operations, including surgery scheduling, keeping patient records, entering post-surgical data, and scheduling surgical equipment. It may also include other administrative duties as needed.

Coordinates complex appointment scheduling of various pediatric specialties, linking consults and ancillary services required for assigned specialty services within the department.

EDUCATION

EXPERIENCE*

  • One to three years of experience in surgery scheduling or complex scheduling in a healthcare setting
  • Experience using computerized surgery scheduling systems

PREFERRED QUALIFICATIONS*

  • Two years of experience in provider scheduling in a multi-specialty setting
  • Experience in Epic Cadence or comparable EMR

JOB RESPONSIBILITIES*

1. Schedules patient appointments when needed, including referral from faxes, phones, or other instructions related to surgery, ensuring OR block time is efficiently utilized. Coordinates combined surgical cases with other physician practices across the organization. Schedules surgical cases for specialized diagnosis. Schedules physicians for surgery at outside facilities. Coordinates all aspects of scheduling, including procedure, equipment, and use of other resources. Manages department and provider surgical case calendars.

2. Interviews patients and families to obtain complete and accurate demographic and financial information. Ensures that all necessary questionnaires and forms are completed at the time of scheduling, prior to patient surgical procedure. Enters data into system for registration, billing, patient tracking, charge capture, and reconciliation. Completes case order requests – adds CPT codes or requests resources or additional equipment (e.g., laser, implants, etc.).

3. Confirms insurance coverage and obtains authorizations for surgical procedures. Acts as lead for surgical cases. Works with teammates who assist with obtaining authorization. Interact with departments across the hospital to ensure insurance authorization is in place. May initiate appeals to insurance payor for denied surgical cases.

4. Participates in agent phone system. Logs on and off appropriately to ensure calls are routed properly. Handles all surgery scheduling calls. Assists with nurse/doctor calls. Provides messages to mid levels for patient follow up.

5. Maintains knowledge of current equipment and supplies. Coordinates procurement for any specialty items by contacting vendors and other facilities and working through supply chain.

6. May initiate authorizations for radiology tests and coordinates surgeries with radiology. Obtains medical clearance for surgery (e.g., dental, cardiac, ortho, ENT). Obtains surgical consents (DFACS or outside agencies with legal guardianships)

7. Demonstrates cost effectiveness and efficiency with regard to time management and supply use.

8. Participates in meetings and may serve on committees representing the department, which could include multi-disciplinary quality and service improvement teams.

9. Provides accurate, detailed informaton to patients regarding test preparations, time of patients’ scheduled arrival, and any other directional information needed; takes appropriate action in responding to questions from patients.

10. Applicable only to CT Surgery – Maintains paper charts, transcribes dictation for surgeons, may coordinate surgery for adults and schedule post-op visits for adult patients.

Safety: Practices proper safety techniques in accordance with hospital and departmental policies and procedures. Responsible for the reporting of employee/patient/visitor injuries or accidents, or other safety issues to the supervisor and in the occurrence notification system.

Monitors and ensures compliance with all regulatory requirements, organizational standards, and policies and procedures related to area of responsibility. Identifies potential risk areas within area of responsibility and supports problem resolution process. Maintains records of compliance activities and reports compliance activities to the Compliance Office.
