Senior Administrative Assistant

The successful candidate will perform a variety of tasks to manage the office and provide support services the office staff including project and marketing specific tasks.

Tasks will include but not limited to:

• Compiles technical reports and documents from individual files of various sources. Source material may be moderately complex, technical or confidential in nature.

• Develops Excel spreadsheet, PowerPoint slides, and Word documents from raw data to present, tabulate, or graph information in both paper and electronic formats.

• Manages office facilities and equipment.

• Maintains electronic and paper files and routes correspondence of a moderately complex and confidential nature.

• Assists in the review, verification, and editing of work produced by technical staff.

• Works with project managers and subconsultants with collecting and maintaining contract files such as insurance certificates, signed agreements, invoices, progress reports and other legal documents.

• Prepares and schedules office activities such as travel arrangements, internal and external business meetings and client or third party appointments.

• Works with the office leader to understand and disseminate information related to human resources, company policies, and office procedures.

• Keeps inventory of office supplies and maintains stock.

• Ability to cover front desk responsibilities as needed.

• Additional administrative duties as needed.

Minimum Qualifications

• Associates degree or its equivalent, Professional Secretary Certificate, or other professional development courses.

• At least 9 years of administrative support experience.

• Advanced level computer skills in MS Excel, Word, Outlook, and basic PowerPoint skills.

• The ability to multi-task and prioritize needs.

• The ability to maintain confidentiality.

• The ability to work in a fast paced environment.

• Strong verbal and written communication skills and moderate level math skills.

• Strong organizational skills in a paperless environment.

• A general understanding of company operations, organization, and procedures.

• Desire to learn new skills.

Preferred Qualifications

• Previous experience working with e-Builder.

• Previous experience working with Oracle.
