Your Project Services Team at DWFritz

The Project Services team at DWFritz is highly-valued for their seamless facilitation of large and highly complex projects across the organization. Members of this team are paired with Project Managers to work as liaisons for Engineers, Purchasing, Manufacturing, Logistics, Finance, etc. and are known for their ability to communicate across all levels to accomplish the successful completion of projects. This team is responsible for the critical details and organization of projects – they wear many hats to ensure the creation of world-class products.

Your Challenge

The Project Assistant will support the project managers, engineers and team members by creating project documents and folders, providing reports, scheduling meetings, preparing budgets, maintaining part lists, controlling drawings, tracking serial number for major components, tracking invoicing for SAT, tracking freight charges, creating documentation packages and completing project wrap-up.

The Project Assistant will proactively provide information and direction to new program/project assistants regarding project related processes, including engineering bills of material, job bills of material and ERP reports.

The Project Assistant will check in and check out customer material and help to maintain security protocol for the safe room process.

Your Responsibilities

Support the project manager by gathering feedback from project team members, provide progress reports, attend team and customer meetings

Collaborate and communicate with the project manager to understand project deliverables

Create project files and folders

Create project setup, routings and operations in sales and ERP database management system

Setup and track project sales contract and progressive billing

Assist with creating parts and engineering bill of material

Maintain bill of material and reconcile to drawings

Create purchasing demand and manage job bill of material

Maintain project drawing and document control

Track and reconcile drawing and bill of material redline

Manufacturing build book management; includes bill of material, drawings and schematics

Provide part and bill of material cost for quotes

Collaborate to implement, track and control ECO changes

Track and report ECO changes to contract manufacturer

Provide part due and shortage reports to track critical components and expedite parts

Enter the initial estimated costs and update the weekly actuals to date for the project budget worksheets

Track serial number of major components

Track freight charges

Prepare and maintain accurate project documentation, including spreadsheets, bills of material, spare parts lists and drawing files

Complete project closing and compile project final documentation

Establish, document and monitor safe room access and protocol, including locker assignment, photo board and barcode parts and drawings

Collect and track NDAs for secure customer product

Recommend, facilitate and implement improvements to engineering and project processes

Other duties as assigned to help meet scheduled project milestones and deadlines

Your Qualifications

MS Office Word and Excel knowledge or proficiency

Excellent oral, written, problem solving, customer service, time management and organizational skills

High attention to detail and accuracy

Team player with ability to actively participate in team development and team-oriented processes

A demonstrated ability to work effectively in a multi-department, multi-location, multi-cultural and matrix organization

Ability to maintain confidentiality

Ability to handle frequent interruptions

Strong analytical skills

3 – 5 years professional office administrative or engineering support

Engineering drawing and bill of materials experience

Enterprise resource planning (ERP) or material requirements planning (MRP) system experience
