Mailroom/Supply Clerk

The Oregon Department of Justice’s Civil Enforcement Division (CED) is looking for a qualified candidate with exceptional clerical skills to serve as the Mailroom/Supply Clerk (Office Specialist 1) in their Salem office. This position organizes and oversees the mailroom and provides other general office support as needed.

This is a limited duration, full-time position, anticipated to last until 10/31/2018, subject to change of business needs. This position is represented by a union (SEIU). Duties & Responsibilities
Primary duties include, but are not limited to:

  • Daily processes a heavy volume of incoming and outgoing mail for office consisting of attorneys and legal support staff. Ensures mail is processed accurately and timely due to critical nature of legal work involving subsequent response times and processing of files.
  • Research and disseminate information regarding special mail procedures to office staff. Prepare items for special mailing.
  • Maintain mailing supplies for staff use.
  • Maintain supply area, supply inventory, prepare and receive office supplies.
  • Assist with special projects as needed or as time allows by completing related clerical functions.

Working Conditions: May stand at mail counter for long periods of time. Will need to be able to reach mailboxes above counter. Open office environment with noise from ringing telephones, printers, copiers, telephone conversations and other office equipment. Must be able to concurrently handle multiple tasks with limited daily supervision. Must be able to meet deadlines with short notice. Must perform duties, which require exercise of judgment regarding procedures to be followed, remedies to be sought and responses to be made. Must be able to work under heavy pressure to meet deadlines. Errors could result in serious consequences for the attorneys’ reputation and professional standing. Must be able to exercise confidentiality. Must be able to work well with a team and individually.

Qualifications, Required & Requested Skills

Minimum Qualifications

· Completion of courses or training in Office Technology; OR

· One year of general clerical experience which included typing, word processing, or other generation of documents; OR

· An equivalent combination of training and experience.

Required/Requested Skills

  • Regular attendance with the ability to process mail within the day it is received.
  • Ability to maintain confidentiality is mandatory.
  • Ability to communicate with people and gather facts, provide information or request information.
  • Knowledge of general legal terminology is preferred.
  • Prior office experience in mail room equipment, processes and procedures is preferred.
  • Prior office experience in organizing and prioritizing own workload.
  • Experience that includes consistently providing exceptional customer service.
