Executive Assistant – Editorial Support

Under the supervision of the Vice President, National Programming, the Executive Assistant – Editorial Support will provide administrative and editorial support including, managing email and calendars, assistance in event planning, conducting editorial research, travel coordination, scheduling meetings, preparing documents using Word, PowerPoint, and including copy editing and some writing, processing expense reports, preparing outgoing and delivery of incoming mail, answering phones, greeting guests, ordering office supplies and catering needs, and managing conference rooms.

Essential Functions:

Provide administrative support to VP National Productions including managing email and calendar, serving as primary point-of-contact with direct reports, executive team and primary outside colleagues, answering phones, greeting guests, ordering office supplies, managing conference rooms, preparing outgoing mail and delivery of incoming mail.

20%

Coordinate and schedule meetings with individuals and groups within WGBH and outside of WGBH. Arrange meeting logistics, including setting up conference calls; providing materials (documents); media (Web, video, etc.); and catering.

15%

Coordinate and arrange travel for the VP (conference registration, airfare, accommodations, ground transportation), domestic and international and input and track expense reports

10%

Help coordinate events and initiatives like the Science Media Awards and Summit in the Hub (SMASH), the Fellowship in Science Communication, and Next Generation Leadership Fellows.

Edit, prepare and review documents in Word, PowerPoint, etc. Conduct editorial research and fact checking

Skills Required

Excellent communication and writing skills

Broadly curious, positive attitude, self-starter, fast learner, good sense of humor

Experience providing administrative support to executive-level management

Proficient in Microsoft Office suite (Word, Excel, Outlook, PowerPoint and Apple systems and accessories)

Exceptional organizational skills, problem solving skills, and attention to detail

Must have the ability to work with Executive Producers, Sr. Producers and others in a collaborative/team environment – often working toward stringent time deadlines and changing priorities.

Must have the ability to maintain the confidentiality and discretion of all work-related information received, observed or distributed

Fluency with a range of social media platforms and digital media systems

Event planning experience preferred

Video, audio, or digital production experience preferred

Research skills required

Must have the ability to work flexible hours

Educational Requirements

Bachelor’s degree or equivalent work experience required.
