Events Coordinator

ipsy is looking to hire an Events Coordinator who will assist with the day-to-day operations and special projects for the Events Team. As an Events Coordinator in a fast-growing tech company, we are looking for a positive self-starter and who has excellent organizational, project management, and communication skills, with a strong interest in the beauty industry. This role reports to the Events Manager and works out of ipsy’s Santa Monica office.

The Events Coordinator will work in conjunction with the team to help design and execute all ipsy events including:

  • Multiple large customer facing events such as Generation Beauty ( http://www.genbeauty.com )
  • Occasional trade event with beauty brand marketers, editors and other beauty industry attendees
  • Company off-site events

Key Responsibilities:

  • Work directly with the Events Manager/Director of Events to understand and support the overall business objectives of the department
  • Support research needs on a national and international level: venues, vendors, volunteer school partners, etc.
  • Assist with the updating organizational documents regularly: meeting agendas, status reports, workplans, production timelines, checklists, run-of-show, etc.
  • Assist with event tracking information, including (but not limited to): guest lists/RSVP’s, vendor lists, volunteer scheduling, product inclusions for brands, event inventory lists
  • Coordinate event scheduling websites and updates (Tagboard and Sched.org)
  • Assist with recruiting volunteers for events
  • Assist with sourcing and purchasing collateral and premiums
  • Help prepare and ship materials for Generation Beauty Events
  • Support hospitality needs (including staff travel, hotel bookings, and transportation)
  • Provide on-site support at all ipsy events
  • Provide general administrative support to the Events Department
  • Fulfill other duties, as assigned


Requirements:

  • Bachelor’s Degree Required
  • 1-2 years of experience coordinating consumer events preferred
  • Passion for the Event Management. Interest in the Beauty industry a plus
  • Self-starter, with strong organizational, project management, and communication skills
  • Proficiency with MS Office (Word, Excel, Powerpoint). Familiarity with Gmail, Google Docs and Google Drive
  • Familiar with navigating various social media channels- Facebook, Instagram, YouTube, etc.
  • Proactive self-starter with the ability to work independently, with strong ability to set priorities, work on multiple projects, solve problems, and be resourceful under pressure
  • Outgoing personality and able to interact with a variety of consumers and brands
  • Organized with an attention to detail
  • Willing to ‘roll up the sleeves’ and do what it takes to get the job done
  • Flexible schedule and willingness to travel
