Business Office Assistant

Under the direct supervision of the Reimbursement Manager, the Business Office Assistant will be responsible for all department support functions.

Distribute contents of courier bins and lockbox to appropriate staff.

Post outgoing mail and process returned mail.

Sort, count and distribute incoming charge tickets and distribute to coding team.

Clinic copay reconciliation and copay letters.

Print HCFA 1500’s, dictation, EOBs – match and mail/fax to appropriate carriers.

Responsible for department scanning; lockbox batches, $0.00 mail, adjustments, credit cards and refunds.

File claims electronically and paper EDI; file patient statements EDI.

Correct entries in Paid queue.

Prepare and mail refund checks to patient and/or insurance carriers with appropriate documentation.

Fold, stuff and mail LSC, WASC and MOH patient statements and company invoices.

Schedule department, team and individual meetings for management.

Run patient credit card statements through on-line bill pay service.

Maintain office spreadsheets and audit detail reporting.

Maintain inventory for envelopes and HCFA forms.

‘Bubble’ charge tickets for coding area.

Update team listing(s).
