Administrative Office Assistant & Marketing Events Coordinator

The Administrative Office Assistant/Marketing Events Coordinator is responsible for the day-to-day administrative office functions as well as the planning, organizing and execution of CompuNet?s regional marketing campaigns/events in Montana and Eastern Idaho. This position requires a well-organized professional who is self-motivated and can work either independently or within teams. Both strong written and oral communications will be necessary to be successful in this position. We are looking for someone who will be passionate about our business, our customers, our brand and creating fun energetic marketing events. This is a salaried position and may require semi-frequent (once a month on average) travel.

Core Duties and Responsibilities (but not limited to):
Greet visitors from front desk

Answer and route telephone calls (as needed)

Maintain overall office appearance and cleanliness

Manage incoming mail as well as other general shipping and receiving duties

Ensure that office supplies are available as needed and manage ordering of supplies

Manage conference room(s) calendar (as needed)

Maintain overall conference room appearance and cleanliness

Prepare coffee bar and order/pickup food for meetings when appropriate

Maintain overall kitchen/break room appearance and cleanliness (stock refrigerator weekly)

Provides staff assistance to the Sales Team; prepares various documents, presentations, and other correspondence.

Assist other departments (Operations, Human Resources, Engineering, Sales and Marketing) in performing general administrative tasks.

Work closely with regional leadership team

Organize and execute recruitment scheduling, detail and follow-up

Collaborates with the Marketing leadership team

Participates in the planning, organizing and execution of regional marketing campaigns and events

Coordinates logistics for local marketing events, trade shows and sponsored conferences in cooperation with Marketing Leadership Team (ie. manages venue selection, venue communication, speaker booking, meeting set up, catering, a/v equipment rental, promotional giveaways, etc)

Builds local event invites in web-based tool to set up landing page and registration. Manages registrations.

Supports the preparation & execution of each event, the day of the event (ie. Event set up/tear down; take pictures)

Supports the tactical execution of social media initiatives and campaigns in cooperation with Marketing Leadership Team

Drive creative brand awareness for our region, while maintaining brand identity and guidelines

Provide an ?experience? that clients will remember

Other duties as assigned. At least 2 years’ experience of professional level administrative support recommended

Intermediate to advanced knowledge of Microsoft Office environment (Word, Excel, Outlook, PowerPoint)

Ability to maintain confidential information at the highest level of discretion

Effective time management skills – ability to complete assigned projects within established timelines and guidelines

Strong writing and proofreading skills

Strong communication, planning and coordination skills

High-level of organizational skills, accuracy and attention to detail

Ability to work independently and as part of a team; Ability to work with high level managers

Capacity to plan and prioritize work-load according to applicable deadlines (work with very tight deadlines)

Ability to think on your feet and solve urgent problems/issues (ad-hoc adjustments) during events

High-level of professionalism

4-year bachelor degree preferred
