Administrative Associate

Purpose
The Texas MBA at Dallas/Fort Worth program is hiring for an Administrative Associate position to support the administrative and office activities of multiple team members.

Essential Functions
The Administrative Associate conducts various core operations of the Texas MBA for Working Professionals team, primarily in support of the Texas MBA Dallas/Fort Worth program. The successful candidate will be willing to work independently and on teams in a dynamic work environment. S/he will also have a passion for service, be a willing team-player, accomplished multi-tasker, possess excellent MS Office skills, be comfortable communicating over telephone and email, have a positive attitude, have a keen eye for detail and maintain a flexible work schedule with overtime required during peak times. Activities include, but are not limited to, supporting the Texas MBA Dallas/Fort Worth Program Coordinator in the preparation and execution of class weekends in Dallas/Fort Worth, inclusive of managing course materials, faculty travel and vendor paperwork while serving as a primary program contact for students, faculty, vendors and UT-Austin administration. Other key functions of the Administrative Associate role include course material procurement and distribution, online resource management, special event support and coordination, drafting official program communications, coordinating domestic and international travel for faculty and staff, administering and tracking course evaluations, maintaining quality control and providing general administrative support to senior program administrators.

Marginal/Incidental functions
Other related functions as assigned.

Licenses:
Class “C” Operator’s Driver’s License. Applicant selected must provide a current three year Driving
Record from the current state of residence. If not currently a Texas resident, must obtain a Texas Driver’s License
within 30 days after entering Texas as a new resident.

Required qualifications
Bachelor’s degree and one year of experience at the Administrative Assistant level, or high school graduation or GED, and five years of clerical experience, including one year of experience at the Administrative Assistant level. Willingness to work flexible hours including evening and weekends. Demonstrated adaptability and history of service-minded approach to executing job functions. Success working in a team setting. Willingness to travel overnight within the state of Texas, (Friday night stay required, some Saturday night stay and occasional weekday travel required). Excellent organizational skills. Excellent oral and written communication skills. Demonstrated ability to communicate to a large and diverse population. Excellent interpersonal skills. Demonstrated ability to multi-task and effectively manage concurrent projects with accuracy, communicating to stakeholders regularly. Proficiency in Microsoft Excel, Word and PowerPoint. Professional demeanor. Excellent teamwork skills. Exceptional attention to detail. Positive and enthusiastic attitude.
Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications
Bachelor’s degree and 2-3 year’s experience performing complex administrative functions. Experience working in a university environment. Familiarity with UT purchasing processes. Experience with event planning.

The retirement plan for this position is Teacher Retirement
System of Texas ( TRS ), subject to the
position being at least 20 hours per week and at least
135 days in length.
