This position serves as Administrative Assistant for the World Trade Center Sales & Catering office and manager. The primary responsibilities include department budgets, account receivables process and providing an administrative lead for Front of House Sales (FOH) and Back of House (BOH) banquet catering.

This position is responsible for collecting and reporting on performance metrics, managing account receivables process, accurate and prompt invoicing and collection that will enable the team to attain our financial department quarterly and annual goals with minimal supervision. The person in this role will also have the ability to improve process opportunities and implement them. This position is often privy to confidential information and as such requires diplomacy and discretion. In addition, this positon will assists with sales calendar, ensures the sales team is organized and prepared for a variety of events, advertising campaigns, and customer communications.

  • Demonstrated ability to take the initiative and own direct work according to business needs and priorities.
  • Strong attention to detail.
  • Strong knowledge of Caterease or other commercial work orders system.
  • Thorough knowledge, or the ability to quickly develop a working level knowledge, of PeopleSoft including the ability to:
  • Understand and apply instructional procedures related to Procure to pay processes.
  • Effectively use the PeopleSoft receiving module.
  • Effectively analyze receipts and payments in PeopleSoft.
  • Strong knowledge of Microsoft Suite (Excel, Word, Outlook, Power Point); Knowledge of or ability to become proficient at PeopleSoft, PowerPlan, and SharePoint experience a plus.

The successful candidate will typically have related experience in a senior-level administrative position with a minimum of three or more years of experience with little or no supervision.
