Administrative Assistant I

Under the direction of the Forensic Genetics Laboratory Director, provides clerical and administrative assistance to one or more supervisors/managers.

  • Daily and frequent contact with HCIFS managers, criminal justice officials, officials of the Texas Medical Center and other hospitals and health care facilities, and the general public.
  • Cross-trains with other Administrative Staff to ensure that assignments to the various functional areas may be rotated periodically or to cover staff absences without any loss of effectiveness.
  • Rigidly follows established practices and protocols as described in the HCIFS and Harris County Standard Operating Procedures and associated Policies to ensure efficient and compliant efforts in assigned job duties.
  • Answers and directs calls from various persons and entities to the desk responsible for handling the matter.
  • May be required to enter data to a variety of databases and to create reports from extracted data, construct graphical charts or presentations from such data, and create a variety of documents and text reports using Microsoft Office software applications.
  • Prepares written business communication utilizing established office guidelines for memos, business letters, and Commissioners Court letters. Performing specialized duties in support of procurement activities.
  • Responds to other assignments from the Forensic Genetics Director, Business Manager, Administration and Finance, or the Chief Medical Examiner in a professional and timely manner.

Requirements:

Must take the HRRM Clerical Skills Test and score a minimum of 95% with a typing speed of 45 WPM and 95% accuracy.

  • High School diploma or GED.
  • Minimum of four years of paid, full-time experience in an office setting.
  • Microsoft Office applications.
  • Valid driver’s license.
  • Ability to multi-task at general clerical duties in an office environment characterized by telephone contacts with a diverse set of callers and steady flows of paperwork and data entry.
  • Professional demeanor in dealing with both outside callers and co-workers.
  • Ability to prioritize tasks in an environment characterized by rapid change, and work to a plan.
  • Willing and capable of assigning tasks to others and following up to assure those tasks are completed efficiently and effectively.

Preferences:

  • Associates degree in business administration.
  • At least five years of paid experience in which duties included the design and use of Word document and report templates.
  • Design of Access templates.
  • Experience using a complex database for the entry of data and the extraction of reports.
  • Demonstrated experience that includes mentoring and supervising the work of subordinates or co-workers.
  • Certification in project management or business administration strategy courses.
  • Familiarity with forensic laboratory accreditation programs.

General Information:

HOURS:

  • 40 Hours Per Week
  • May include weekends, nights, or evening shift work

SALARY:

  • Commensurate With Experience
  • Based on 26 Pay Periods
