Administrative Assistant

Responsible for providing a wide range of administrative assistance to the Director of the USC Upstate Teacher Education Program and School of Education faculty at the University Center of Greenville. Provides student-related assistance for the program. Must be able to apply policies, balance priorities, work with limited supervision in carrying out internal working procedures, maintain confidentiality, and interact in a positive manner with students, faculty and the public. Requires a high level of organization.

1. Student files: Create and maintain School of Education student files. Receive transcripts and additional information from Enrollment Services and use that information to create new student files. Maintain files, updating on a regular basis, for continuing students. Maintain the appearance of the files by keeping files neat and updated on a daily basis and purge old files as needed. Assign advisors to Education students based on intended major. Update advisor information when needed due to change of major, inactive status, or graduated status, or change of advisor requests, etc.

2. Transcript Evaluations: Give prospective student transcripts to Director for evaluation and keep on file for future reference.

3. Professional Education Program: Collect and process student(s) applications to the Professional Education Program. Compose letter of acceptance or denial to students in a timely manner. Updates database of students admitted to Professional Education Program.

4. Required Student Reports: Receive required reports from students for admission to Professional Education Program and for placement in clinicals/internships/directed teaching. Enter records into SLED, TB, NSOR spreadsheet. Work with Director of Field Experiences to ensure all required documents have been received.

5. Student forms: Receive student-related forms and submit to the appropriate office for processing including, but not limited to the following: Change of Major forms, Transient forms, Independent Study/Internship/Field Experience forms, etc. Ensure latest versions of all are being used.

6. Orientation and Registration Events (OaR): Provide support during the OaR events hosted by Enrollment Services. Create folders for advisement for Transfer OaR. Provide list of attending students and advisement folders to lead faculty member for OaR event. Send OaR dates and agendas to advisors, and keep attendance records of faculty members assisting with advisement during OaR. Communicate faculty attendance to Director and Enrollment Services as needed.

7. Communicate on a regular basis with Spartanburg campus Administrative Assistants to ensure smooth operation and continuity between both campuses in relation to student reports and the Professional Program. Other duties as needed/assigned by Director.

Minimum Qualifications

Bachelor’s degree and 2 years of work experience that is business management, administrative services, or related to the area of employment, or high school diploma and 6 years work experience that is directly related to the area of employment; or equivalency.

Proficient in Microsoft Office. Good organization and communication skills required. Successful background check is required.

Preferred Qualifications

Experience in an academic setting preferred.
