Accounting Associate IV

The Accounting Associate IV position provides high level fiscal support. This includes providing fiscal oversight and accounting services for all types of funds, including paying bills, monitoring expenditures, managing purchasing activity, performing analyses, reconciling accounts, and providing budget reports.

Duties and Responsibilities

1. Assisting with management and maintenance of state, federal, and extension grant accounts; reviewing purchases for accuracy and adhering to state purchasing guidelines; verifying and allocating costs to appropriate accounts; recording and processing transactions;

2. Preparing BPA’s for payment of invoices and travel reimbursements;

3. Reviewing, reconciling, and maintaining credit card processes including reviewing and editing transactions, maintaining required documentation, and filing monthly reports; reviewing and reconciling internal account transactions and balances with University financial reports including comparing internal budgets with Banner financial reports, researching discrepancies, and correcting errors; receiving, sorting, reviewing, and verifying invoices, packing slips, and MSU automatic bills;

4. Reviewing and reconciling monthly vendor statements; researching transactions and invoices regarding discrepancies; maintaining purchase orders; keeping electronic archives up to date; making deposits; and maintaining cash receipts log;

5. Completing personnel and payroll appointments for faculty, professionals and graduate students;

6. Preparing monthly budget summaries; other related duties as assigned.

Required Qualifications – Experience, Education, Knowledge & Skills

1. Experience in accounting, reconciling, budgeting, reporting, and record-keeping.

2. Demonstrated experience performing detailed tasks with a high level of accuracy and close attention to detail.

3. Demonstrated competence in Microsoft Office software, especially Excel.

Preferred Qualifications – Experience, Education, Knowledge & Skills

1. Experience working in an academic department in a higher education setting.

2. Experience using a large relational accounting database for information entry, retrieval, maintenance and processing.
