CLM is experiencing strong growth, and is looking for experienced workflow manager who can quickly understand our clients’ needs and objectives and has the ability to efficiently translate them into clear and concise logistical gameplans. The workflow manager will help client stakeholders, product owners, and creative/production teams communicate effectively throughout each stage of a project or program. This position is rich in variety: As a full-service marketing agency, CLM produces a broad range advertising and marketing work including video, TV advertising, print advertising, web and app development, content, social media, email, direct mail, and public relations. This position demands a proactive problem solver who can manage team resourcing dynamics, manage project financial performance, clearly communicate status, establish and own all milestones, and drive progression towards dates for dozens of marketing and advertising deliverables.

Responsibilities:

  • Owns agency workflow across all accounts as well as internal agency projects
  • Works with client, account service, and creative/production teams to set priorities, build roadmaps, and facilitate logistics working sessions
  • Leads all job status and progress meetings and communications
  • Monitors progress of all work and proactively drives teams to prioritize work to meet milestones
  • Establishes dates required for completion of activities and evaluates impact of change to the overall timeline
  • Ensures key milestones are met or reset on a daily and hourly basis
  • Ensures job specs and key quality and accuracy criteria are met
  • Anticipates needs, issues, opportunities and obstacles to keep workflow moving efficiently and effectively to meet client, account, and creative expectations
  • Learns and owns all workflow and time-tracking processes and tools
  • Works with client stakeholders to efficiently, clearly and concisely document schedules as well as quality and success measurements
  • May function as a client proxy for logistics
  • Removes impediments from the delivery team members
  • Provides accurate and frequent status to internal teams on a regular basis
  • Manages resourcing based on project needs, and recommends creative assignments
  • Provides necessary external status reporting to clients as needed
  • Facilitates understanding of clients’ environment to properly set up project teams, identify needed documentation, and setup status reporting
  • Produces estimates and timelines based on solution options
  • Creates exceptional quality project setup documents detailing scope, assumptions, success criteria, and risks
  • Proactively works to eliminate blocks and impediments to work progress
  • Facilitates team retrospectives, stand ups, and sprint planning sessions
  • Proactively identifies dependencies and issues between teams and facilitates resolution
  • Tracks project scope changes, delivery timing, and key project metrics
  • Perform desk checks and ad hoc testing before, during, and after project deployment
  • Perform regular post-production deployment checks

Required Skills and Experience:

  • College degree or business systems analyst experience
  • Bachelor’s degree in business administration, computer science, project management, marketing, or equivalent experience
  • 5+ years of analyst, project management, technical, and/or business experience
  • Understanding of agile development methodologies, specifically scrum
  • Ability to break down and simplify complex problems and systems into smaller and more consumable components
  • Ability to provide proactive and assertive service in problem solving, managing financial success of projects, maintaining timelines, and reducing inefficiency
  • Strong interpersonal skills and ability to resolve conflict with productive outcomes
  • Ability to be an effective and valuable part of a team
  • Ability to effectively work across departments with diplomacy and a firm understanding of other’s roles and perspectives
  • Ability to view problems in context at the system level and align solutions with the strategic direction of our clients and agency
