Travel Admin Buyer- Incentives experience needed

Offering administrative assistance to the tour leaders (travel team) for precise and professional planning and execution of Meetings, Incentives, Conferences & Events. This includes but is not limited to assisting with research from quotation and proposal stage, the implementation of, to final financial file reconciliation. The position requires a sound knowledge of the MICE industry and professional approach when liaising with suppliers, DMC’s, airlines and hotel group reservations for both local and international incentive travel, conferences and event arrangements.

Maintain a professional attitude and appearance as a representative of the company at all times. To ensure that the requirements of the brief and client are met in an accurate and creative way. To ensure that all internal and external deadlines are met timeously and efficiently. To ensure that all quotations / costings are accurate and error free. To formulate unique and creative travel incentive proposals/tenders and costings for new and previously used destinations for presentations to clients. Provide a comprehensive presentation of your proposal to sales and senior team members with presentations to clients. Efficient and accurate processing of client documentation for incentive trip which includes the issuing of domestic and international air tickets, visa correlation, itineraries, travel insurance etc.

To ensure smooth onsite implementation of the incentive by providing efficient support and where required assistance with tour leading services. This includes but is not limited to crisis management, emergency budget management, hospitality services, baggage control and efficient liaison with suppliers. To develop and maintain an ongoing high standard of customer service including good interpersonal relationships with clients, both internally and externally. To ensure profitability on all files by means of timeous invoicing and collection of monies exchange rate and payment control and negotiations with suppliers. Effective liaison and relationship building with international, regional and local suppliers. All administration, record keeping, invoicing, reconciliations and reporting related to the clients and your daily functions. Assist in improving sales for the division by following up on proposals presented to clients and by forwarding contacts to the sales department. Any agreed upon ad-hoc work requirements from the travel team in order to provide customer satisfaction.

Qualification relevant to the travel industry.

Skills

Amadeus trained and able to build international fares & issue/re-issue tickets (experience essential). Good understanding of the MICE industry. Passion for the MICE industry.

Salary / Package

R15000- R25000ctc per month
