Temporary Office Specialist 2

This recruitment will be used to fill one part time (.50 FTE ) Temporary Office Specialist 2 position as the Temporary MFA in Creative Writing Residency Assistant for OSU -Cascades in Bend, Oregon. This is a part time temporary position until June 20, 2017.

This position will provide general administrative assistance and support to the Masters of Fine Arts ( MFA ) program day-to-day administrative operations including logistical and event work, development work, organizational records and filing, upkeep of organizational database, and other office work

About OSU -Cascades: Oregon State University’s branch campus in Bend, Ore., features outstanding faculty in degree programs that reflect Central Oregon’s vibrant economy and abundant natural resources. Nearly 20 undergraduate majors, 30 minors and options, and four graduate programs include computer science, energy systems engineering, kinesiology, hospitality management, and tourism and outdoor leadership. The branch campus expanded to a four-year university beginning fall 2015; its new campus opened in fall 2016.

The anticipated start date is May 20, 2017 and the anticipated end date is June 20, 2017.

Position Duties

65% Administrative Support:
Providing general/administrative, program, residency, and development support for the Masters of Fine Arts ( MFA ) program lead.

Providing assistance to the Director with the MFA’s programmatic work through planning, coordinating, and implementing logistical pieces of events including travel arrangements, registrations, program marketing communications, resources/equipment for presenters, program materials, and meeting space; coordinating biannual residency periods, including the scheduling of facilities, transportation, catering, schedules, and equipment reservations.

Assisting Director with development administrative activities including preparation of documents, supplementary materials, file maintenance, maintaining funding calendar, recordkeeping and reporting.

25% Residency Support:
The preparation of residency materials and overseeing their duplication and distribution; and responding to a wide variety of student and faculty needs during the Spring residency period. Assist chef with food deliveries at Caldera Arts, Assist chef with food purchases in Bend, Assist Program Director with residency set-up at Caldera the day before the residency begins, Coordinate delivery of all instructional and A/V materials to Caldera Arts, Drive OSU van from Redmond Airport to Caldera Arts on the first day of the residency, Drive OSU van from Caldera Arts to Redmond Airport on the last day of the residency.

Residence at Caldera Arts for the ten-day residency. During this period, assist the caterer with additional purchases and tracking the use of supplies, assist the Program Director will Public events, coordinate transportation to and from public events off-campus, collect residency footage, manage student volunteer chairs, track food purchases and usage, oversee chore teams, document chore teams, creative skill shares and public events and disseminate the residency evaluation survey.

5% Planning and promoting public events.

5% Other Duties as Assigned.

Minimum Qualifications

Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR An Associate’s degree in Office Occupations or Office Technology; OR Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience. College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.

Additional Required Qualifications

  • Friendly, professional demeanor.
  • Good work habits, reliability, attention to detail, and a habit of follow-through are a must.
  • Strong writing skills.
  • Familiarity with Microsoft Office Suite’s Word and Excel.
  • Experience with a data base management system, social media, and WordPress websites.
  • This position requires driving a University vehicle or a personal vehicle on behalf of the University; therefore, the incumbent must successfully complete a Motor Vehicle History Check, possess and maintain a current, valid driver’s license in their state of residence, be determined to be position qualified and self-report convictions as per OSU Standard 576-056-0000 et seq. Offers of employment are contingent upon meeting all minimum qualifications including the Motor Vehicle Check Requirement.

Preferred (Special) Qualifications

  • Interest in learning about the Low-Residency MFA format and living in Central Oregon.
  • Able to work as part of a team, take direction, and work independently.
  • Proficiency with Google Docs and other applications.
  • A demonstrable commitment to promoting and enhancing diversity.

Working Conditions / Work Schedule

Requires weekend and evening work. Must be available to reside at Caldera for the MFA residency June 8-19, 2017.

This position is deemed essential and the incumbent may be expected to report to work during inclement weather, emergency and other University work curtailments or closures.
