Administrative Program Assist

This recruitment will be used to fill one full-time Administrative Program Assistant position as Coordinator of Educational Placement at OSU -Cascades in Bend, Oregon.

The Coordinator of Educational Placement is responsible for the acquisition of all school-based placements for OSU -Cascades students and coordination with the public schools where the student will be sited. Maintaining a positive relationship with schools and agencies during these placements is necessary. The successful candidate will inform students re: course placement requirements as well as student teaching and internship requirements. The candidate will also coordinate with program leaders, Cooperating Teachers, and local districts to match students with placement sites to assure quality outcomes.

Position may require travel to K-12 classrooms where students under 18 exist in addition to driving to K-12 classrooms in the Bend/La Pine school district and other local districts to collaborate and/or confirm student teacher placements.

About OSU -Cascades: Oregon State University’s campus in Bend, Ore. features outstanding faculty in degree programs that reflect Central Oregon’s vibrant economy and abundant natural resources. Sixteen undergraduate majors, 30 minors and options, and three graduate programs include computer science, energy systems engineering, kinesiology, hospitality management, and tourism and outdoor leadership. The branch campus expanded to a four-year university in fall 2015.

The anticipated start date is April 17, 2017.

Position Duties

40% – Coordinate and manage acquisitions of all K-12 educational placements of OSU -Cascades students, including those in the teacher preparation, school counseling, human development and family science, and kinesiology.

Coordinate, maintain, and develop relationships with schools, districts, Cooperating Teachers, and administrators where the students will be sited. Direct students in placement portfolio development, and career and employment preparation.

20% – Maintain a system to situate and monitor all educational placements of OSU -Cascades students, to include database management for licensure and accreditation reporting and tracking.

Synchronize placement decisions with program leaders and students’ supervisors, faculty, and districts. Process and maintain the student placement records.

10% – Inform students about clinical placement and internship placement requirements and coordinate with program leaders and school districts to match students with placement sites to assure quality outcomes.

10% – Coordinate with other OSU -Cascades staff in Public Relations and marketing for graduate programs, to include building on relationships with school districts and agencies. Build and maintain an Alumni database and assist in survey coordination with OSU -Cascades’ graduates.

10% – Coordinate and support workshops for Student Orientation/Pairs, Co-Teaching, Cooperating Teacher training, admissions and employment. Maintain employment opportunities databases. Participate as requested in the selection of new candidates for the graduate programs.

5% – Coordinate with OSU -Corvallis the remuneration and stipends for participating sites. Participate in accreditation requirements that apply to student placements.

5% – Other duties as assigned.

Minimum Qualifications

Three years of office experience which included two years at full performance level and experience generating documents; and Lead work responsibility or coordination of office procedures.

Additional Required Qualifications

Minimum of 2 years professional experience in public education is required, with 1 year experience in Oregon public school and/or higher education.

Ability to work in a team-oriented setting in an evolving organization and share responsibilities with other faculty and staff.

Experience in database creation and management.

Excellent oral and written skills.

Accuracy and attention to detail.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a Criminal History Check and be determined to be position qualified as per OSU Standard 576-055-0000 et seq. Incumbents are required to self-report convictions and those in Youth Programs may have additional Criminal History Checks every 24 months. Offers of employment are contingent upon meeting all minimum qualifications including the Criminal History Check Requirement.

This position requires driving a University vehicle or a personal vehicle on behalf of the University; therefore, the incumbent must successfully complete a Motor Vehicle History Check, possess and maintain a current, valid driver’s license in their state of residence, be determined to be position qualified and self-report convictions (as per Voluntary and Compulsory Driver Standards OSU Standard 125-155-0200) as per OSU 576-056-0000 et seq. Offers of employment are contingent upon meeting all minimum qualifications including the Motor Vehicle History Check Requirement.

Preferred (Special) Qualifications

Bachelor’s degree in field of choice is preferred.

Experience developing and coordinating personnel/programs in education or community agencies is preferred.

Demonstrated ability to effectively communicate with, and maintain partnerships in, diverse settings is preferred.

Knowledge of Excel and Microsoft Word preferred.

A demonstrable commitment to promoting and enhancing diversity.

Working Conditions / Work Schedule

Some evening and weekend work is required.

This position is deemed essential and the incumbent may be expected to report to work during inclement weather, emergency and other University work curtailments or closures.
