Technical Records Specialist 1 (Violation Hearing Technician)

The Idaho Commission of Pardons and Parole is an independent body appointed by the Governor. The Commission is committed to the protection of the public, the rights of victims and to the fair and individualized assessment of each offender.

The Commission of Pardons and Parole is currently accepting applications for a Technical Records Specialist 1/Violation Hearing Tech. The incumbent will provide support to the Parole Commissioners and hearing staff in scheduling hearings, keeping records and collecting data. They will be responsible for communicating with offenders, families, parole officers and other stakeholders, as well as possess effective written and oral communication skills.

Responsibilities:

  • Gather information, make decisions, resolve problems, and respond to inquiries
  • Utilize independent judgment and discretion as to the methods, policies, and procedures used to complete assignments
  • Conduct involved searches, which may require accessing and selecting multiple information sources or contact with clients, vendors, or outside sources to obtain information
  • Perform specialized support work that involves an extensive in-depth knowledge of the program
  • Review, evaluate, approve, and process records and/or documents
  • Determine acceptability or conformance to eligibility requirements according to rules, regulations, statutes, and program policies and procedures
  • Explain requirements, processes, and procedures to customers
  • Manipulate and update manual and/or computerized records systems; and develop reports
  • Entering information into database system (Access)
  • Work efficiently, perform multi-tasking, prioritize tasks, and meet deadlines.

Minimum Qualifications:

Experience:

  • Monitoring a records system to identify and correct errors
  • Researching a variety of sources to resolve problems
  • Interpreting, explaining and applying regulations, laws, or complex policies to carry out assignments
  • Entering and retrieving data using a computerized records system

Specialty Areas:

  • Willingness to work in a Correctional Facility

Desirable Requirements:

  • Good knowledge of entering into database (Access) and IDOC offender management system and creating forms to include arrest warrants and release documents
  • Ability to take summary minutes of parole and revocation hearing and proofread files for accuracy and completeness
  • Good communication experience with offenders population, families, victims officer, and other stakeholders
  • Good written and oral communication skills

Hiring Information:

To be hired, candidates will have a history and background supportive of department mission goals and will be subject to:

  • Completing a Background Investigation Questionnaire and pre-employment drug testing
  • Having a federal and state criminal background check to include fingerprints
  • Having a history of law-abiding behavior
  • Felonies, misdemeanors, illegal drug usage, DUI’s, adverse driving convictions and employment history may make you ineligible for employment

Non-hiring restrictions are in place for candidates who:

  • Have been convicted of Domestic Violence or similar types of violent behaviors
  • Have a dishonorable discharge from military service
  • Currently are using, dealing or are associated with illegal drugs
  • Have close friends or relatives under IDOC care & custody where the vacancy exists
  • Are currently under IDOC supervision or probation (must be released from IDOC supervision or probation for at least one year)

EXAMINATION:

Part 1 – Minimum Qualifications (Pass/Fail). Part 2 – Multiple-Choice Written Exam (100%). If you meet the minimum qualifications as shown in Part 1, you will receive a Pass score and can then take Part 2 (the online written examination). You must receive a Pass on Part 1 and a minimum score of 60 on Part 2 in order to be put on the register for these positions. Both Part 1 and Part 2 must be completed by the closing date of this announcement. Notification of your test results will be available online once you have completed each part of the exam.

The multiple-choice written examination (Part 2) for this position can only be taken once every three months. Once you apply and take the exam, you can reapply when your score expires. At that time you will need to retake the written examination.
