Supply Specialist

This position is responsible for leading warehouse workers to include assigning and monitoring work, providing direction, controlling and participating in daily warehouse operations workflow at the DWM construction and maintenance warehouse.

Essential Functions:
The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.

Provides leadership to the warehouse workers in assigning, monitoring, and participating in daily DWM warehouse operations workflow; receives shipments and verifies that shipments contain correct items and quantities; provides customer assistance in pulling orders; provides training to warehouse workers; process requisitions for inventory and supplies; maintains records of inventory ordered and received; and oversees the proper labeling and correct put away of inventory.

Initiates cycle counts and inventory reconciliation procedures; produces reports upon request in regards to warehouse team performance; ensure a clean and safe warehouse working environment; acquires, stocks, issues and secures various supplies, equipment and parts; monitors and maintains inventory levels through a computerized system; and confers with supervisors regarding needed equipment and supplies.

Processes orders and monitors delivery status; completes and processes various forms and documentation; monitors expenditures to ensure compliance with budgetary guidelines; and reviews product information and price quotes for annual budget.

Writes equipment specifications on materials and equipment; researches requirements, obtains vendor information and calculates costs; responds to request for information regarding departmental procedures and inventory levels; compiles, prepares and distributes various reports and correspondence; and may prepare evaluations of vendor performance and product/service satisfaction.

Under the direction of the Supervisor and Coordinator, tracks materials, equipment, and supplies; assesses inventory levels and orders materials for the warehouse via SPL and/or Oracle; determines which system to create the requisition based on whether or not items requested have stock codes; and places orders repair parts for water lines, copper tubing, water pumps, brass fittings, gate valves, manhole rings and covers, as well as small equipment, uniforms, safety footwear, and personal protective equipment.

Tracks inventory through cycle counts on a weekly basis; researches where error took place if inventory discrepancies occur; and adjusts in SPL system once error is located and documents for auditing purposes.

Assists with counting physical inventory and enters quantities into SPL system; runs variance report to show possible discrepancies between the actual count and system count; and researches each item for which there is a discrepancy to determine the cause.

Contacts the accounts payable department to reconcile any discrepancy with regard to quantities or prices on an invoice once a product has been delivered to the warehouse and has gone through the receiving process.

Receives and reviews various documentation, including inventory variance reports, receiving reports, overdue equipment reports, vehicle maintenance reports, and billing invoices; reviews, completes, processes, forwards or retains as appropriate; prepares or completes various forms, reports, correspondence, and other documentation, including contracts, open and outstanding purchase order reports, inventory measures reports, encumbrance cancellations, and vendor performance reports; compiles data for further processing or for use in preparation of department reports; and maintains computerized and/or hardcopy records.

Operates or uses various equipment and supplies in order to complete work assignments: Operates a forklift and other lift and stacking equipment, personal computer to enter, retrieve, review or modify data, utilizing word processing, spreadsheet, database, internet, e-mail, or other software; and operates general office or other equipment as necessary to complete essential functions.

Communicates with supervisor, other employees, third party service contractors, vendors, couriers, and other individuals as needed to coordinate work activities, review status of work, exchange information, or resolve problems.

Minimum Qualifications:
Associate’s Degree in Business Administration, Accounting or a related field; one year of experience in warehouse, supply chain, or inventory control which included experience in a large scale utility or parts operation; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.

Specific License or Certification Required : Must possess and maintain a valid Georgia driver’s license. Proficiency in MS Word, Excel and Oracle WAM preferred. Forklift experience and certification preferred.
