Student Records Visa Coordinator

San Ignacio University is looking for a Student Records Visa Coordinator in our Academic Department. This is a temporary job position.

Position Description:

The Student Records and Visa Coordinator reports directly to the Student Records Manager. The main purpose of this position is to oversee the admission process for the programs offered by San Ignacio University. This position support, maintain and monitor the eligibility and enrollment of all prospect local and international students. The main focus is concentrated on the emissions of F1 and J1 visa for international students as well as the registration of new students in our Academic System.

This position is responsible for evaluating every document to admit students and maintaining all active student records. Also is responsible for guaranteeing that all international students comply with their visa requirements.

Essential Functions:

Visa and Admission process:

  • Review and audit every admission document for local and international students.
  • Support and give counseling to the Admissions Department with the recruitment of international students.
  • Process all visa forms on time and in strict coordination with the Admissions Coordinators. All visas must be issued once all documents are clear and within 48 hours the student file was delivered.
  • Implement counseling interviews for international student candidates and guide them through the visa interview and process.
  • Update and review all admission documents in coordination with the Compliance Assistant to assure the meet all the requirements.
  • Monitor all international students to guarantee they comply with their visa status.
  • Admit, accept, deny and cancel student visa in coordination with the Admissions Department.

Student Records:

  • File and update all student records on paper and on file in the Academic System.
  • Monitor and ensure all records are in compliance with the accreditation agency.
  • Assist with the registration of students each term in the system.
  • Prepare instructors files on each term with the student’s sign-in sheets.
  • Respond to questions from other employees, students, and faculty and refer as necessary.
  • Process requests for official documents such as, course descriptions, transcripts, and other information in accordance with privacy laws and university policies.
  • Provide necessary assistance to the faculty.
  • Monitor SAP for all international students. Coordinate with the Student Service Department all meetings and plans to ensure international students maintain their visa status.
  • Coordinate with the accounting department to ensure all students are up to date with their payments to register in every semester.

Knowledge, Skills, and Abilities

  • Strong written communication and planning skills are required.
  • Effective interpersonal, organizational, and team-building skills are required.
  • Good computer skills necessary to set up document formats in Word, Excel, and any other software required for this position.
  • Ability to handle detail-oriented assignments and maintain confidentiality.
  • Additional job functions and the need to work a flexible work schedule may vary based on specific requirements of the department and the university.

Position Requirements:

  • An associate degree is required.
  • Experience: One year in a student admission function or on a registrar position.
  • Experience in a college or university setting is preferred.
  • Proficiency in Microsoft Office
  • Bilingual: English & Spanish
