Compensation Range: $15.10 – 19.36 per hour ($31,411.88 – $40,281.68)

Job Summary : Under general supervision, assist in the daily operation of the courts by providing varied and increasingly responsible secretarial, clerical and customer service support in compliance with SCR 70.41 – Court Staff Guidelines.

Essential Duties and Responsibilities:

  • Customer Service, SCR 70.41 – Supreme Court Rules: determine the nature of customer visit and service being sought; determine if customer is filing proper documentation, paying appropriate fees and advise as to proper filing requirements and/or service per state statutes;
  • Answer case specific inquiries using Consolidated Court Automation Programs (CCAP) and OnBase systems; answer general court inquiries.
  • Process certification, exemplification and copy/search requests.
  • Process occupational licenses and return of property petitions and provide official court forms; process requests from other governmental agencies; satisfy judgments.
  • Process filings for court cases (civil, small claims, family, paternity, criminal, traffic, forfeiture, juvenile, Children in Need of Protective Services (CHIPs), termination of parental rights, adoption, probate, guardianship and mental health; assign case number; assign return and/or hearing dates and determine appropriate disbursements of the documents; set up jury panels for trials.
  • Maintain court records; make entries of court events, activities and other information into Consolidated Court Automation Programs (CCAP); review and/or process e-filed documents, link scanned documents to entries in the court record; contact attorneys and/or parties regarding changes to court dates, i.e. adjournments and cancellations.
  • Assess statutory guidelines, appropriately schedule and enter into the electronic record dates for all matters, check in parties and attorneys for court hearings and other unscheduled matters. Schedule and maintain Judges and/or Commissioner’s calendars to prevent over-booking.
  • Compile, verify and print daily calendars, pull and return court files to Clerk of Court record room and/or courtroom.
  • Collect loose documents and organize for scanning into Consolidated Court Automation Programs (CCAP); review scanned images prior to saving the same in order to ensure legible, high quality scan; ensure documents being scanned are correctly matched to the documents entered into Consolidated Court Automation Programs (CCAP) on the court record.
  • Review court entries, enter case disposition in Consolidated Court Automation Programs (CCAP), and generate required court orders for judicial review, signature and/or distribution
  • Other duties as assigned.
  • Regular attendance is required.

Minimum Qualifications

Minimum Education & Years of Experience Required: High School Diploma or G.E.D equivalent with three (3) or more years of clerical and/or secretarial experience. A combination of experience and/or education may be considered.

Special Instructions: This Original Examination is open to qualified internal and external candidates of the State of Wisconsin. The selection process will be job related and will consist of one or more of the following: education and experience evaluation; written, oral, or performance tests, or other assessment methods.
