Sales Administrative Specialist

Position Summary:

The Sales Administrative Specialist is responsible for overseeing the front desk to ensure that it runs effectively and that all operations are being carried out efficiently in a professional and with a high level of integrity and also responsible for functions in key room and cashier area. They are responsible for varying functions such as dealer trades, lease returns and for assisting the General Sales Manager in vehicle allocations.

Primary Responsibilities

Greets customers entering the dealership, enters customer into CRM as a showroom up and makes note of salesman assigned and/or directs them to the appropriate department or employee they are inquiring to speak with.

Answers all incoming calls from a multi-line phone system and routes them to the appropriate department or employee or takes down messages as needed.

Performs dealer trades in a timely and accurate basis, including providing information to the sales.

Disperses vehicle keys and tags to appropriate personnel and maintains the record keeping up to date to ensure the return of keys and tags.

Creates new users in the system for new employees with access to keys and tags.

Prepares and distributes new car folders, second key, tag trim, and collects documents such as E-form and Delivery Certificate from Sales Associates.

Assigns stock numbers to new cars, stocks in all keys and packets.

Prepare packets lease returns so they are ready to be picked up by truckers.

Verify trade-ins are in Reynolds to stock into Keytrak machine, and ready to make packets

Coordinates the delivery and issuance 2nd temporary tags if necessary by use of the state of Florida license plate system or provide a manual tag if system is down.

Receives and processes all funds, cash, check, and credit card payments, from customers and records all receipts from transactions.

Sends mailers to customers informing them that their registration and/or plates are ready for pick up.

Assist accounting department with inventory paperwork and MSO as needed.

Assist finance department with warranty documentation and submission.

Assist with social media posting, Facebook, Instagram, etc., utilizing best practices.

Confirm sales appointments daily and will update CRM if customer reschedules, cancels, leaves a message
