Quickbooks Admin/Bookkeeper

Seeking a Full time Experienced Quickbooks Admin/Bookkeeper.

Privately owned Water Treatment and Industrial services Company is seeking a career minded individual for a busy high energy position in its main office in Nanuet, NY.

This is a busy, dynamic environment and the right candidate must be able to perform duties and stay on task in a demanding fast paced office. We need a skilled team player with a sense of humor and patient demeanor for a casual industrial-engineering/sales type of setting.

Working knowledge of QuickBooks and general computer experience is a Must. Accounting background and/or Education a Plus.

JOB DESCRIPTION: The primary responsibility of this position for the right Man or Woman will be Bookkeeping and Office Administration, Supporting the Office/Accounts Manager with the below tasks and being part of the front office team. Mon – Fri 8:30-4:30. $20-26/per hour

ESSENTIAL SKILLS/RESPONSIBILITIES:

  • Record accounting transactions within Quickbooks Enterprise
  • Accounts Payable – Monitor and pay bills in a timely fashion
  • Preparation of customer invoices – Memorized Transactions
  • Accounts receivable – Bank Deposits, Bank Reconciliations
  • Reconciliation of Credit Card Statements – Bank feeds
  • Reporting – Job P&L, Financial P&L
  • Item creation and Inventory
  • Generate orders using Sales Orders and Purchase Orders
  • Shipping/Receiving – Tracking orders that have drop shipped to customers
  • Interacting with Vendors – Sourcing equipment and pricing
  • Customer and Vendor creation in the database
  • Obtaining Insurance certificates and other customer required documentation

ADDITIONAL RESPONSIBILITIES:

  • Answering Phones – Professionally screen calls and route to appropriate parties
  • Ordering and keeping track of office supplies
  • Willingness to assist in keeping office neat, clean and organized
  • Maintain filing system
  • Receiving and processing mail
  • Compose and distribute emails to sales team, owners and customers – Proper writing skills

SKILLS:

  • Quickbooks Desktop – Proficiency. Minimum 3-5 Yrs experience a Must in order to keep up with the pace and demand
  • Accounting/Bookkeeping experience necessary
  • Microsoft Office, Excel, Outlook. Strong Excel a plus. Filemaker and various database program knowledge a plus
  • STRONG ability to multi-task and remain focused while moving from task to task
  • Ability to work quickly and independently with minimal direction
  • Ability to identify a need, take action and problem solve in a thoughtful manner

ABOUT THE COMPANY:

Clarity Water Technologies has been a privately-owned company since 2002. We serve primarily the Northeast in Commercial and Industrial Boiler water products/equipment and services, as well as Cooling Tower maintenance and have been rapidly expanding throughout the country. The company employees approx. 40 people comprised of Regional Sales/Service and a Service Division in the Bronx NY. The main office in Nanuet, NY houses the owners, business administration, marketing and service manager.
