Project Manager, Facilities

SFMOMA expanded the museum to provide a better experience for our visitors and a better home for our expanding collections, including the SFMOMA collection and the Fisher Collection, one of the finest collections of contemporary art in the world. The new SFMOMA, designed in collaboration with the architecture firm Snøhetta, opened May 14 th 2016. With this project, we are transforming not just the museum’s physical presence, but also our contributions to the community, enhancing SFMOMA’s role as a place for learning, inspiration, and interaction for visitors from the Bay Area and beyond. We are making SFMOMA a magnet for contemporary art and for the audiences who will engage with it.

POSITION PURPOSE:
Reporting to the Director of Operations, Facilities, and Security, the Facilities Project Manager is a leadership position within the Operations Department responsible for management of cross-functional, operational, and strategic projects. The Project Manager is the primary point of contact for the Division’s project management function and works directly with project focused roles across the organization including counterparts in Technology, Curatorial Affairs, and External Relations. In addition to a broad portfolio of capital improvement, renewal, and seasonal project work, the PM’s portfolio also incorporates project objectives related to the Museum’s programmatic offerings including the exhibition and annual events program. The Project Manager will also provide oversight of the methods, processes, and systems that support the delivery of project objectives within the Operations, Facilities, and Security division.

ESSENTIAL RESPONSIBILITIES:
Strategic Support ( under the direction of the Director of Operations )

Implements the project management framework for complex, multi-stakeholder, interdepartmental initiatives including support of strategic initiatives, organizational compliance objectives, condition and functional assessments, and capital improvement projects

Maintains strategic calendar for the division integrating exhibitions program, fiscal year, and multiyear planning objectives

Recommends key opportunities and strategies for advancement of project management best practices within the division and aligns practices with project teams across the organization

Recommends streamlining opportunities, synergies, or critical path elements of annual and multiyear planning efforts

Supports key objectives of the Finance and Administration Division including support to the Deputy Director and General Counsel for complex and time sensitive planning efforts

Project Management

Engages, leads, and actively participates with multi-stakeholder teams to achieve project focused objectives including exhibitions, events, operations, engineering, and ad-hoc committees with project objectives

Structures each project through methodical identification of requirements and objectives, and application of industry and organization approved standards and practices

Continually identifies scope, schedule, cost constraints and plans resource allocation accordingly while proactively identifying and resolving potential roadblocks

Develops and maintains visualization and communication of timelines, schedules, milestones, dependencies and deadlines

Maintains a portfolio of current project and process documentation

Proactively delivers consistent stakeholder focused communication throughout the project lifecycle

Maintains project management standards, processes, and protocol based on industry best practices and benchmarking with peer organizations

Continually reviews and recommends improvement to existing processes

Responsible for project management activities in support of the multiyear exhibition and annual event program including facilitating requirements gathering at project and installation meetings, maintaining aligned project calendars, coordinating services supplied by the operations department to exhibitions including specific trades work (mechanical, electrical, and security systems) or by consultant (architectural, structural legal, compliance, and health and safety)

Administrative

Shares and gathers requirements all project meetings including exhibitions, events, operations, engineering, and ad-hoc committees with project objectives

Serves as principal point of contact for project team members, stakeholders, and external partners

Defines, assigns, and tracks project related tasks for individuals and project teams; tracks deliverables and actions

Coordinates the project related activities of multiple contractors, vendors, service providers

Compiles cost information, produces project budgets, and tracks project expenses

Compiles and organizes technical documentation for all projects

Produces summary reports for executive briefings and strategic communications about planned and in-progress project work

Develops workflow, process diagrams, graphics, schematics, and other visual aids as required

Other duties as assigned

MINIMUM QUALIFICATIONS:
Education and Training: Possession of a baccalaureate degree. Professional certification or project management coursework preferred.

Work Experience: A minimum of 3 years of project management experience that demonstrates potential for success in this position. Experience with facility operations preferred.

Skills and Abilities:
Developed practical knowledge of project planning tools and techniques (PMI, Agile, Lean, LEED, etc.).

Technical proficiency with standard suite of applications (Outlook, Microsoft Word, Excel, PowerPoint, etc.) as well as applications and platforms related to project management (Microsoft Project, Primavera, Asana, Tom’s planner, Basecamp, SharePoint, etc.). Capacity to quickly master new tools and platforms as technologies evolve

Facile with budgets and budget management

Excellent oral and written communication with special attention to diplomacy and tact

Excellent organizational and analytical skills

Self-motivated and proactive
