POSITION OVERVIEW:

The Project Administrator will perform a wide variety of duties facilitating Shop work flow. Activities will range from fielding inquiries on new jobs, pulling together quotes, developing and routing purchase requisitions and shipping components or machines globally. The candidate will also assist the Shop Accounting and Storeroom Supervisor and Shop Manager in special projects involving analysis of information or generation of work reports to be used in overall Shop decision making.

MAIN RESPONSIBILITIES:

  • Leading the quotation process for all fabricated components. Work with standard holder for applicable equipment. Confirm information is correct before item is quoted.
  • Lead the ordering process of all fabricated parts and some assemblies. Create Maximo Purchase Requisitions. Track work and orders throughout fabrication process.
  • Lead the shipping process for the Shop. This will include domestic and international shipments as well as facilitating in progress work. Interface with US Import/Export Team, James Ford Bell (JFB) Technical Center Logistics, Shop customers, coworkers, and freight forwarders.
    • Serve as the main point of contact between our shipping partners such as JFB Shipping and Receiving, General Mills Import/Export Team, and our freight forwarder.
    • Assist the Shop Construction Leads in shipping machines or components globally. Learn various shipping requirements for each country that the Shop exports to.
  • Provide leadership to improve workflow in the Shop. Organize weekly meetings to review the status of all work orders. Compare due dates with estimated completion dates and cost Estimates at Complete.
    • Develop an improved Work Order Request process, Improve Shop forms, and Shop records keeping methods.

MINIMUM QUALIFICATIONS:

  • High School Diploma required, Associates degree in any major preferred
  • 3 years of related experience
  • Must have excellent computer skills in a variety of applications (SAP, Maximo, and Microsoft Office preferred)
  • Must have good customer service skills for working with internal and external resources and customers
  • Critical attention to detail
  • Ability to efficiently organize workload, and handle projects simultaneously
  • Able to work independently as well as part of a team
  • Excellent written communication and math skills
  • Willingness and flexibility to adapt to changing job expectations and requirements
