This position is based at the UW Medicine Transfer Center located at Airlift Northwest – Boeing Field Office.

    UW Medicine’s Transfer Center has an outstanding opportunity for a full-time (100%), day shift, PROGRAM COORDINATOR. The UW Medicine Transfer Center is 24-hour call center comprised of three distinct services: the Community Care Line, Medcon and the Transfer Center. We have a great opportunity for an individual with excellent customer-service skills to facilitate patient calls for nurse advice and consult/transfer requests from providers and clinical staff throughout the WAMI region. The Transfer Center arranges patient transfers and inpatient consults to all four UW Medicine hospitals (HMC, UWMC, NWH, VMC) from across Washington, Alaska, Montana and Idaho.

    The Program Coordinator (PC) is responsible for reviewing, updating, and reporting recently completed records for all incoming calls from providers requesting consults or transfers. The PC will query the database for discharged patients and send a follow-up letter and report to the referring provider. In addition to daily statistics, reports are prepared at weekly, monthly, annually and on an ad-hoc basis. Reports are sent to departments throughout the organization and are reviewed by the hospital executives and chief health system officers. The Program Coordinator manages patient lists and access to the U-Link Trauma Registry program. U-Link provides electronic access to the medical records of transferred patients for personnel at referring WAMI hospitals. Working closely with the User Access group the PC will collect information to setup new user accounts, conduct quarterly audits, and add patients to the appropriate U-Link account.

    Additionally, the Program Coordinator is responsible for maintaining and ordering general office supplies, as well as requisitioning specialty items or large scale purchases through the supply chain purchasing application. The PC will may also be asked to assist with various administrative requests from the management team. The Program Coordinator is also responsible for assisting with the orientation off new staff to the N-Centaurus database.

    RESPONSIBILITIES:

  • Ensure accuracy and completeness of patient charts in N-Centaurus database for all recently closed charts
  • Prepare daily Amalga report, Stroke, Ortho and Transfer Center logs & update tracking charts
  • Prepare, print and mail discharge follow-up letters to referring providers
  • Update U-Link accounts
  • Track and update ISS codes for Trauma patients
  • Prepare weekly monthly and annual reports
  • Prepare department or service specific ad-hoc reports
  • Track & purchase office supplies
  • Submit procurement, reimbursements, or requisitions in PMM for larger purchases
  • Processes and sends monthly invoices for contracted clinic billing
  • Acknowledges and treats all federally-protected patient health information (PHI) in a manner consistent with UW Medicine standards and applicable laws.
  • Collaborate with multiple departments to ensure accurate and timely reporting
  • Other duties and projects as assigned by management

    REQUIREMENTS:

    High school graduate or equivalent

    AND

    Two (2) years in a health care related field

    OR

    Equivalent education and experience.

    ADDITIONAL DEPARTMENT REQUIREMENTS:

  • Demonstrated excellent oral and written communication skills
  • Strong problem solving skills including tolerance for ambiguity
  • Proficiency in Microsoft Windows navigation
  • Proficiency in Microsoft Office Suite – particularly Excel
  • Demonstrated ability to learn new application and systems
  • Experience prioritizing assignments and meeting deadlines
  • Ability to effectively manage multiple concurrent projects
  • ‘Can do’ attitude – approaches obstacles & problems as an opportunity to learn and grow
  • DESIRED:

  • Knowledge of medical terminology
  • Knowledge of medical sub-specialties
  • Experience in a large complex healthcare system or academic healthcare setting
