PROGRAM ASSISTANT II #TMPPT5078

Works as a paraprofessional for the Division of Homeland Security and Emergency Management. Performs administrative support functions for the Planning Section, including assisting with exercises and training to support the State’s all-hazard Homeland Security Exercise Evaluation Program for local and state entities. Works under the supervision of the Assistant Planning Section Chief.

Responsibilities:

Prepares documents for submission to Grants Management Unit in support of the US DHS Homeland Security Grant Program for state and local government entities conducting all-hazard training and exercises.

Ensures that documents, forms, files, plans and procedures are properly maintained and kept current.

Creates, updates, edits and maintains a variety of documents in computerized databases and spreadsheets in support of state and federal programs; e.g., tracking training and exercise grant funds, contracts, expenses, local plans and information.

Maintains a level of proficiency in computer office software packages (Word, Excel, etc.) and proofreading to ensure documents are submitted in a timely and accurate fashion.

Provides information to agency staff, other state employees, local officials, other partners, stakeholders, and the general public in various forms, including electronic mail and telephone inquiries.

Provides clerical support and administrative assistance to the entire Division of Homeland Security and Emergency Management and performs other duties, as necessary, including providing coverage for the agency’s main switchboard.

MINIMUM QUALIFICATIONS:

Education: Associate’s degree from a recognized college or technical institute with a major study in science, environmental sciences, engineering technology, communications, business administration, emergency management, or a related field. Each additional year of approved formal education may be substituted for one year of required work experience.

Experience: Three years’ experience in science, environmental sciences, engineering technology, communications, business administration, emergency management, or related field, with experience in writing and editing documents and with responsibility for providing program information to others. Each additional year of approved work experience may be substituted for one year of required formal education.

License/Certification: Must have and maintain a valid driver’s license.

SPECIAL REQUIREMENTS:

1. May be required to be available by phone to be called upon to report to work at any time, with little notice, during activation of the State Emergency Operations Center, or as otherwise determined by Homeland Security and Emergency Management/Department of Safety administration. On occasion, must be willing to work an extended/flexible schedule in support of, or in collaboration with, other agency team members.

2. Selected candidate will undergo a stringent background investigation in order to ensure suitability for exposure to confidential information.
