Professional Office Administrator

REQUIRED SKILLS:

  • Quickbooks experience preferred, other financial systems acceptable
  • PandaDoc, Slack and Asana knowledge preferred
  • Ubersmith experience preferred, other support ticket and/or billing systems acceptable
  • Proficient knowledge of Outlook, Excel and Word
  • Very strong verbal, writing and general computer skills
  • Decision making
  • Process improvement and process documentation
  • Social media and marketing experience preferred
  • Great with Internet research

TYPICAL DAY:

  • Handle a variety of tasks and fires that came up yesterday evening
  • Manage all front office and back office operations with style and grace
  • Enter data into Quickbooks and Ubersmith, ensuring 100% accuracy
  • Executive assistance to the CEO, make scheduling calls for appointments, travel arrangements, email and calendar management, etc.
  • Monitor CEO progress and current open projects ensuring details are cared for through timely completion, taking over any elements possible
  • In a nutshell: Recruiting management, onboarding management, client billing and customer service, bookkeeping, AR/AP accounting, corporate document management, process development, policy management, metrics management, vendor management, adherence to compliance, project management, office management (supplies, filing, maintenance of common areas, business cards, company swag, etc.), sales support activities and other leadership support activities

Salary: $40,000.00 to $55,000.00 /year
