Greendale Physical Therapy began in 2002 and has grown steadily since then to include 3 locations: Worcester, Shrewsbury, and Clinton; we have additional sites planned for in the Worcester area. The practice employs approximately 40 people. Greendale is well respected in the local and national medical community. In 2014, Greendale was awarded honorable mention in the nationwide ADVANCE Magazine for Physical Therapy and Rehabilitation’s “Practice of the Year” competition, and in 2015, Greendale was the winner of the Better Business Bureau’s Award for Marketplace Excellence for a Mid- Sized business. On a day to day basis, Greendale treats a varied caseload ranging from seniors to post-surgical cases to high level athletes. Greendale also provides specialty services such as Pilates and aquatic physical therapy. Greendale is a practice that is highly organized and has operational systems in place that allow for efficiency and ease of work for our team members, which they enjoy.

Summary of Position:

Under the direct supervision of the Owner, the Practice Administrator is responsible for the operations of the practice and for planning, directing, coordinating and supervising the administrative work of the clinical and administrative team. The Practice Administrator works closely with other team members and participates in vacation and illness coverage.

Functions:

  • Manage and/or supervise day-to-day operations of the practice including: therapist schedules, team schedules, accounts receivable, accounts payable, supplies, training.
  • Manage staff effectively
  • Recruit, hire, supervise the training and development of administrative team members (maintain job descriptions)
  • Participate in the hiring of therapists
  • Meet with Owner regarding bottom line performance of the practice to ensure financial performance
  • Develop, implement, and monitor practice budget
  • Oversee and administer practice planning (short and long term)
  • Create and modify policies and procedures which ensure operational efficiency
  • Resolve team member grievances in a timely and effective manner
  • Coordinate and participate in team member appraisals
  • Evaluate work flow and performance and modify as necessary
  • Ensure that the office is opened, closed and staffed appropriately
  • Respond to physician requests fully and promptly; follow through consistently on all projects and assignments
  • Identify, analyze and resolve patient complaints
  • Supervise the production of weekly and monthly financial reports, analyze them and produce a monthly summary and action plan
  • Participate in year-end tax planning with CPA
  • Manage relationships with vendors such as practice management system, hardware support company, communications equipment to ensure the proper functioning of the systems
  • Manage relationships with supply vendors to ensure cost effective purchasing of supplies
  • Monitor compliance with all regulatory agencies including: OSHA, HIPAA, billing compliance, and other licensing and accreditation requirements.
  • Supervise the credentialing of new providers
  • Participate in marketing and other patient initiatives
  • Recommend operational changes based on knowledge of policies, costs, procedures and develop continuous improvements in operational efficiencies
  • Supervise/manage the payroll and perform confidential function
  • Maintain accurate and current records
  • Act as role model to staff in attendance, organization, professionalism, communication, etc.
  • Hold monthly department/essential function meetings (billing, individual locations, marketing, bookeeper) with prepared agendas and record minutes.
  • Prepare agenda and materials for weekly Owner’s meetings and record minutes.
  • Assure that equipment is maintained in good repair, or is replaced within guidelines of capital budget
  • Ensure that requests for information are handled promptly and effectively
  • Monitor the condition of the practice for safety, cleanliness and state of repairs
  • Participate in professional associations and organizations

Requirements:
Minimum requirements:

Undergraduate degree or equivalent related experience preferred. Minimum two years experience managing/directing; ability to organize, prioritize, and make decisions; ability to motivate team and create a “team focused” work environment; proven communication skills with all levels of employees.
