Payroll Coordinator

Basic Purpose-This position is primarily responsible for providing clerical support for the 10-person Corporate Payroll Team, which provides payroll services for 25,000 employees nationwide.

Description



Monitors Payroll Mailbox daily. Forwards emails to appropriate analyst. Prints data entry, Off-Cycle requests, Stop Payments, Reversals, etc. and distributes accordingly.

Takes phone calls from employees and outside agencies. Will create tickets and assign to analysts for any Tier II calls.

Sorts and distributes mail daily.

Sorts and faxes Garnishments received daily. Includes preparation of the orders prior to faxing to ADP.

Audits ADP report daily to ensure receipt and set up of all Garnishments. Monitors ADP processing time to make sure garnishments are set up timely and accurately.

Monitors receipt of VOE’s and unemployment documents and sends out weekly to Equifax and or Corporate Benefits.

Daily upkeep of Gradience Timekeeping system, including updating supervisor and Tree information as needed. Record approved employee PTO for Support Office.

Monitors HP Ticketing System daily. Handles any Level 1 tickets and assigns all others to appropriate Payroll Analyst. Tracks total number of outstanding tickets and reports to Manager each week.

Provides misc clerical duties including but not limited to filing, archiving and scanning.

Assists in auditing varies queries during payroll processing each week.

Updates On/Off Cycle Check Log daily and saves a copy for GA.

Updates Off-Cycle Root Cause Log daily. Ensures Off-Cycle supporting documents are completed, signed and dated by the processing analyst.

Records data from 3rd Party Sick notifications into the designated spreadsheet accurately and timely.

Receives QMCSO documents and forward on as needed. Provide data for requests as needed.

Assists in the processing of unclaimed wages by verifying check status, placing stop payments, and sending out notifications to employees.

Assists with sending notifications of Lock-in-Letters to employees as needed.

Assists with returned W-2’s and reprint requests.

Provides pay stub reprints as needed.

Provides documentation to support Subpoena Requests.

Provides a consistent, high-level of customer service.

Performs other duties as assigned.

Qualifications

Education/Training:
High School Diploma or GED required

Associate’s Degree in Accounting or a related field preferred

Related Experience:
One year of experience with payroll processing required

Experience with high volume, multi-state payroll processing is preferred

PeopleSoft Payroll and Kronos experience is strongly preferred

Knowledge/Skills/Abilities:
Experienced in Excel, i.e., using advanced features, such as pivot tables, V-lookup is required

Familiarity with the various legal regulations governing payroll activities, including Federal and State information required

Position requires the ability to work on a variety of projects with varying deadlines

Must have strong verbal and written communications skills is must

Proven ability to maintain a professional demeanor under pressure

Strong attention to detail, strong problem resolution skills, and the ability to maintain confidentiality is required

Advanced data entry skills necessary

Proficiency with Word and Outlook is preferred

Ability to work overtime as needed is required
