Office Assistant, Senior

Essential Duties

Schedule patients for appointments according to scheduling guidelines and protocols. On new patients, accurately complete all preregistration demographic fields identified per workflow. Validate insurance eligibility and coverage via Centricity EDI, according to the established clinic guidelines. Initiate preauthorization process when applicable. Build Cases for Special Billing. As directed by supervisor, assist Referral Coordinator in scheduling patients referred for outside services.

Review all registration fields in Centricity registration module and complete any blank fields which need data per the current, established workflow. Scan needed documents into the Document Management module, including paper registration forms, sliding fee applications, insurance cards, and others as necessary. Obtain permission and take patient photo for security and identification purposes. Ensure patient is scheduled correctly as required by appointment type, provider and insurance. Determine patients’ financial responsibility for prior services by review of patient ledger for past due balances and review of insurance card for co-pay information. Collect payment, post to oldest balance and provide patient with receipt. Complete miscellaneous forms as applicable. Ex. ABN, Work Comp. Patient Financial Agreement and Slide. Complete check-in functions in the scheduling module in Centricity and print patient profile to appropriate nursing station.

Retrieve charges for patient visit in the appropriate visit in Centricity billing module. Determine patients’ financial responsibility by review of patient ledger for past due balances (if not addressed at check-in), review of insurance card for co-pay information and check for existing payment plan contract. If payer is on the sliding fee scale, approve ticket to calculate patient responsibility. Collect payment, post to oldest balance and provide patient with receipt. Identify and forward insurance and account balance issues or abnormalities to billing staff. Refer patient to billing staff for detailed financial assistance as needed.

Upon assignment by the Front Desk Manager, use Microsoft Excel, Word, or other software to prepare tables or documents. Participate in special projects by completing tasks assigned by the Front Desk Manager. Routine special projects include patient satisfaction surveys, cycle time reports, meaningful use/quality initiatives; and other projects assigned from time to time.

Monitor waiting room to ensure all patients have been assisted in a timely manner. Complete end of day payment batch balancing, reconciling cash, checks and credit card receipts with reports from Centricity. Process returned mail to obtain current patient address. Maintain an environment of confidentiality and abide by all HIPAA guidelines. Serve as backup to staff assigned to Call Center to manage phone lines and assist or forward calls as applicable. Serve as backup to Referral Coordinator in scheduling referral appointments with outside providers. Required to work some evening hours, up until 7:00 pm.

Minimum Qualifications

High School Graduate or GED and two years of comparable experience in a professional office, or an equivalent combination of education and work experience.

Excellent interpersonal, verbal and written communication skills.

Desired Qualifications

Proficiency with multi-line phone systems.

Excellent customer service skills.

One year professional office experience in a medical office environment.

Previous accounting experience.

Knowledge of Microsoft Office (Excel, Word, Access, Outlook).

Strong attention to detail.

Prior experience with electronic scheduling.
