Investment & Fiduciary Services Operations Specialist

Operations are dedicated to assisting Sales and Service, Relationship Managers, Product Managers, Product Specialists, and Underwriters in support of new and existing customer accounts. The responsibilities of the AIFS Operations team includes, but is not
limited to: set-up and maintenance of accounts and assets, transactions processing, trade settlement and income posting, reconciliation, government reporting and pricing and fund valuation.

ESSENTIAL RESPONSIBILITIES:

JOB FUNCTION NUMBER 1: Process Support.-60%

  • SMAC Functions.
  • Date of Death Valuation.
  • Asset Transfers & Gifting.
  • Security Set-up.
  • FNC Escrow.
  • Prepare all month-end, quarter-end, and year-end reporting as it pertains to the position.
  • Maintain up-to-date procedures as it pertains to the position.
  • Cross train within AIFS Operations department.
  • Other processes as assigned.

JOB FUNCTION NUMBER 2: Customer Service and Support 25%

  • Ensure work is completed according to team service level agreements.
  • Promote and maintain good working relationships with internal and external customers and contacts.
  • Demonstrate and maintain excellent verbal, written, and telephone skills.
  • Assist internal customers with product/process questions and provide training, as needed.
  • Act with initiative to address customer complaints and process issues.
  • Provide external customer support as needed.
  • Participate in departmental meetings.

JOB FUNCTION NUMBER 3: System and industry Knowledge.-10%

  • Maintain up-to-date knowledge of all systems as they pertain to the position.
  • Maintain up-to-date knowledge of trust & banking industry as it pertains to the position.
  • Maintain up-to-date knowledge of compliance regulations pertaining to the job.
  • Attend and complete all regulatory training as it pertains to the job.
  • Attend other specific training as directed by the performance plan.

JOB FUNCTION NUMBER 4: Product Support.-5%

  • Maintain knowledge of AIFS products.
  • Develop relationships with the appropriate Product Managers as it pertains to the position.
  • Communicate with appropriate Product Managers to resolve issues that arise in the support of his/or her product.

POSITION REQUIREMENTS:

QUALIFICATIONS:

  • College degree in accounting, business or finance preferred
  • Two years of related experience preferred.
  • Keyboard, Excel, Word and other basic computer skills.

PHYSICAL DEMANDS: (must be met with or without a reasonable accommodation)

  • Extended periods of time sitting at a desk and using office equipment.
  • Ability to operate a personal computer/laptop for approximately 8 hours per day.
  • Extended time is spent reviewing documents, both actual papers or electronic.
  • The employee is occasionally required to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl.
  • Vision abilities required by this job include close vision.
  • Periodically, may also do light lifting of supplies and materials which weighs in at approximately 20 lbs.
  • Will spend most of time in an indoor environment.
