JOB SUMMARY

The Investments Associate is a member of a small and highly collaborative team that oversees and administers $8 billion of charitable capital. Reporting to the Senior Vice President of Investments, the Associate is responsible for day-to-day administration of investments across numerous portfolios and investment relationships. This role serves as primary liaison between controller, consultant and custodian, coordinating daily transactions and establishing new accounts. The Associate provides administrative support to the entire department for investment committee meeting preparation, routing documents for signatures, maintaining records and contacts, audit support and internal reporting. The position is best suited for candidates with three or more years of investment operations and client service experience. The successful candidate is highly organized, pro-active, a self-learner and proficient at adapting technology to improve processes.

Salary commensurate with experience.

RESPONSIBILITIES

Serve as primary liaison with investment consultants, investment managers and custodian banks: coordinate manager transitions, portfolio rebalancing, transact purchases and redemptions, process capital calls, distributions and fees, maintain cash guidelines, respond to requests, develop productive relationships and resolve operational issues in a timely and constructive manner.

Onboard and maintain new investments: process subscription documents and agreements, maintain internal database records and authorized signer lists, coordinate with key stakeholders.

Monitor and process group email boxes including electronic and physical mail, invoices, security litigation notices, proxy voting and legal, tax or regulatory filings.

Coordinate maintenance and renewal of $135+ million in bank certificate of deposits.

Support annual audit deliverables including confirmation letters, valuation support, K-1 collection and foreign account identification, preparation of assigned schedules.

Support the senior vice president with department administration including scheduling, conference registration, travel and expense reports, entering operating plans and budgets, running reports and other duties as assigned.

Coordinate investment committee meeting logistics including scheduling, correspondence, docket preparation and distribution, lunches and minutes.

Maintain timely updates to investment communications including performance reports, fact sheets, webpages, PowerPoint presentations, fund activity reports and other communications.

Develop and maintain written procedures, dashboards and calendars. Maintain and develop file sharing and department intranet as the department site administrator.

Participate in admin and IT user groups; represent department needs and coordinate implementation and incorporation of new technology and process improvements.

QUALIFICATIONS

    • 3 years of relevant experience in financial services administering investments and client services
    • Bachelor’s degree, preferably with emphasis in business administration, communications or finance
    • Advanced skills in Excel, PowerPoint and Word to create high quality deliverables
    • Highly organized and able to manage multiple priorities
    • Strong attention to detail and accuracy
    • Excellent written and oral English language communications skills
    • Ability to work as a team member in varied activities and projects
    • Ability to maintain confidentiality of extremely sensitive and private data
    • Initiative, good judgment and ability to work with humor even when under pressure
    • Flexibility and willingness to assist where needed
    • Highly relevant work experience includes investment back-office administration involving multi-manager portfolios holding private and public assets
