Human Resource/Payroll Administrator

OTTO pizza is currently seeking a Human Resource/Payroll Administrator to add to their team in Portland, ME. This position will provide assistance to the Human Resource Manager and handle the preparation and processing of a weekly payroll.

The right candidate will have a solid HR Generalist background including experience with employee relations, benefits management, training, excellent communication skills, experience in payroll administration and maintain a willingness to help in other areas as needed.

Responsibilities include:

  • Responsible for the preparation and processing of a weekly payroll for over 400 employees; review and ensure accuracy of approved timesheets; track and deduct all garnishments and other special payroll deductions
  • Enter weekly payroll numbers into Quickbooks after payroll process is complete
  • Coordinate efforts between payroll, human resources, and other departments to ensure proper flow and maintenance of employee data (including preparation/distribution of detailed reports, e.g. labor, overtime, leave balances, head count, benefit eligibility, turnover)
  • Handle the administration of the electronic timekeeping system (Foodtec)
  • Establish/maintain employee records with all payroll related information; adhere to FLSA; ensure that employee changes are entered correctly and timely; comply with federal/state/local wage, hour and tax regulations
  • Research and resolve Payroll/HR questions and issues
  • Assist with administration of employee benefit programs such as health insurance, disability insurance, life insurance, worker’s compensation, and other plans.
  • Supports the administration and application of company policies and procedures and answers routine employee questions
  • Collaborates with management to help create and deliver training and development programs
  • Assist with recruiting and onboarding process as needed
  • Assists with and attend company meetings and events
  • Assists with other administrative tasks as needed.
  • Stay up to date on all HR and Payroll regulations and laws
  • Other duties as assigned

Requirements:

  • Bachelor’s Degree preferred, HR certification a plus
  • 2-3 years’ payroll and human resource experience required (Paylocity experience a plus)
  • Highly motivated, ability to work individually and as part of a team/strong collaborator
  • Experience in a restaurant/retail setting ideal
  • Tech savvy comfortable with everyday operating systems as well as experience with HRIS
  • Strategic thinker ready to share ideas and make recommendations
  • Must have knowledge of human resources policies and procedures across multi-states and their application in the day to day working environment.
  • Strong organizational skills and ability to prioritize and meet tight deadlines
  • Experience leading the HR function in a multi-site environment strongly preferred
  • Ability to recognize and maintain confidentiality
  • Ability to travel to Maine and Massachusetts as needed
