Human Resource Assistant

Responsibilities

Interact with all levels of the organization in such a way that represents human resources in a positive, polished, and proactive fashion.

Perform customer service function by answering basic HR inquiries and/or directing to appropriate HR personnnel.

Develop an understanding of the department’s operations as well as the company’s policies and procedures.

Perform clerical duties to include but not limited to: photocopying, faxing, mailing, filing, and shredding.

Create and maintain personnel files in compliance with applicable legal requirements, keeping employee records up-to-date at all times.

Multi-task and work on several projects simultaneously.

Assist with coordination of meetings or training.

Create and modify documents in Microsoft Office.

Support HR staff in assigned project-based work.

Assist with coordination of recruiting and onboarding, which includes but is not limited to: screening prospective employees for employment, coordinating interviews, posting and monitoring positions in the applicant tracking system, posting jobs to external sites, etc.

Assist with new hire orientation preparation.

Assist with the requirements of the Pilot Records Improvement Act (PRIA) and the FAA Drug and Alcohol program to ensure we stay in compliance with the regulations.

Process pre-employment and new hire paperwork.

Assist with updating information on the Intranet, which includes but is not limited to: adding/deleting pictures to the People Directory, editing information, adding/deleting job opportunites, etc.

Assist with keeping the electronic TV’s and the DPJ SmugMug account up to date with pictures and information.

Sort and distribute incoming company mail and assist with outgoing mail.

Maintain and update office phone list.

Provide front desk support, receive visitors, and assist with UPS/FedEx deliveries and supplies.

Assist with ordering and distributing office supplies for the General Office.

Assist with ordering and distributing company business cards.

Provide administrative support for areas outside of HR as needed.

Protect organization by keeping human resource information confidential.

Perform other duties and/or special projects as assigned by the Director of Human Resources or higher authority.

Qualifications

High School diploma or GED.

Previous experience in human resources preferred.

Computer savvy and working knowledge of MS Office applications.

Detail oriented and organized.

Ability to be able to effectively communicate with all levels of staff and executives within the organization.

Demonstrated ability to take initiative, anticipate needs of the department and manager, and eager to take on new challenges.

Ability to be able to prioritize, handle conflicting priorities, and remain calm under pressure while working in a fast paced environment.

Exceptional work ethic and trustworthy.

To ensure a safe environment for all, we require a drug screening, FBI fingerprinting check and a 10-year background check.
