High School Transition Coordinator

Title: High School Transition Coordinator

Purpose: The High School Transition Coordinator works closely with students and families to guide them through the high school application process. Work begins with students in the spring of their 7th grade and continues through the spring of 8th grade.

Responsibilities:

Responsible for all aspects of high school placement for 8th grade students at Convent Elementary and Stuart Hall for Boys.

  • Plan and oversee initial spring meeting with 7th grade parents and students to outline and discuss the high school process.
  • Write and assemble meeting handouts and update, edit and prepare High School Placement Guide for distribution.
  • Schedule and conduct individual meetings with 7th grade parents and students throughout the 7th grade spring.
  • Schedule and conduct 8th Grade meetings for parents and students throughout the fall. As necessary, meet with 8th graders to check in throughout the school year.
  • Conduct/coordinate mock interviews in the fall with 8th graders and share any necessary feedback with parents.
  • Attend GLM (Grade Level 7 and 8) and ERT (Educational Resource Team) meetings on regular basis to stay up-to-speed on issues with current 7th and 8th students.
  • Regularly write emails to parent listserv with reminders and updates, procedural instructions etc.
  • Regularly respond to phone calls and emails from parents and students.
  • Write personal letters of recommendation for each candidate and oversee editing and collaboration of recommendations with Head of School, English and math teachers as well as any additional recommendations required.
  • Review all recommendations forms prior to final distribution.
  • Distribute and collect transcript release forms, release forms in compliance with HIPAA and any other necessary documents requested by high schools.
  • Copy, collate and assemble all documents via Google Docs for each applicant file (or use admissions software used by high schools), including emails and meetings with teachers.
  • Register and manage SSAT testing for the 7th grade (spring) and the 8th grade (fall). Arrange for proctors for both test sessions.
  • Manage phone calls and emails with High School Admissions Directors and Officers in discussing candidates.
  • Maintain and build relationships with admission officers and local high schools, including occasional visits and tours on campuses.
  • Attend professional development opportunities, as needed.
  • Attend quarterly meetings and frequently communicate throughout the year with fellow High School Secondary School Counselors.

Qualifications:

Requires a BA/BS degree.

Prefers a minimum of 2 years of High School Placement experience.

Must have exceptional interpersonal and external relations skills.

Excellent writing, communication and grammar skills.

Highly proficient with Apple systems, Google Apps, and Microsoft Office.

Must be detail-oriented, organized and willing to take initiative.

Must have excellent teamwork skills.

Requires the ability to work well with students in grades 7-8 along with their parents and other adult colleagues.

Must be a role model in embracing and living out the Schools’ mission, goals and criteria; willingness to be an active, enthusiastic member of the community.

Experience with independent schools preferred.

Pay Period: July 1 through June 30.

Service Period: August 20 through June 12. This is a 10-month, part-time position minimum, with a possibility of full-time depending on qualifications and organization needs.

Salary: $40,000.00 to $70,000.00 /year
