Gift and Data Entry Coordinator

Foundation Accounting & Data Assistant

Job Summary:
This position provides data entry, gift processing, acknowledgment letters, and accounting assistance within Mercy Foundation.

Essential Functions:
1.Responsible for accurate data collection, input and processing of all donor and gift information into donor database (Blackbaud CRM).

2.Accurately prepares and reviews all gift acknowledgement letters and tribute notifications, identifying opportunities for personalization

3.Responsible for the donor pledge reminder process.

4.Records donor “opt-outs” in Blackbaud CRM.

5.Prepares reports for grant reporting (i.e. donations and distributions).

6.Assists Director of Finance with query requests generated from Blackbaud CRM.

7.Prepares bank deposits that reconcile to batches prepared in Blackbaud CRM.

8.Issues all outgoing checks (utilizing Quicken) for program distributions, Charitable Gift Annuity, Charitable Remainder Trust payments and others as directed. This process includes the preparation of the back-up documentation, mailing or emailing of memos and file maintenance. Records checks in financial database (Positive Pay).

9.Assists Director of Finance in preparing accounting and budget reports for monthly financial closing.

10.Responsible for the Accounts Payable process – including securing the appropriate approvals and coding all invoices. Maintains a record of all invoices in appropriate software.

11.Responsible for some bank account reconciliations to be reviewed by Director of Finance.

12.Helps prepare for, and assists with, Mercy Foundation’s annual audit.

13.Manages all revenue event data entry information, including participant registrations and event expenses. Provides updated guest registration reports in a timely manner.

14.Prepares standard monthly journal entries for input by Director of Finance.

15.Provides administrative support for Mercy Foundation’s Finance, Mercy Ministry Grants Committees, and other committees as assigned.

16.Serves as Mercy Foundation’s primary resource for the Concur system.

17.Completes other projects as assigned as they relate to donor database and accounting functions.

18.Other duties as assigned (ex. answering phones, assisting at events and/or other projects should time allow)

Education, Experience & Skills:
Minimum of three years of accounting experience

Previous experience in fundraising preferred but not required

Experience with Blackbaud CRM software desirable

Database experience required

Takes initiative and utilizes creativity and good judgement in addressing opportunities and challenges

Demonstrates understanding and proficiency in current secretarial practices, including accurate and rapid typing skills, record keeping, operating office equipment (copier, fax, scanner, 10-key calculators), and proper telephone etiquette

Demonstrates an understanding of basic accounting functions, including but not limited to accounts payable and accounts receivable

Demonstrates proficiency in business communication, including the correct use of the English language, including spelling, grammar and punctuation

Capable of managing multiple projects and competing priorities

Ability to work effectively and cooperatively with staff and volunteers at a variety of levels

Strong computer skills, including experience with Microsoft Word, Excel, Outlook and PowerPoint

Great tact in handling external relationships

Customer service oriented

Respect for confidentiality and accuracy in handling donor and financial information
