Position Description Title/PD#: File Clerk (OA) (Scanning) PD #30102-A

This position is in the Health Information Management Section of the VA Central Iowa Health Care System located in Des Moines, Iowa.

The File Clerk/Scanning Specialist performs the following duties:

Scan and index all documents using multiple guides with several, overlapping classification categories regarding complicated subject-content matter as it’s related to the medical record.

Integrated health and administrative records into a computerized patient record system.

Responsible for tracking, retrieving and performing follow-up activities on VA and Non-VA medical records.

Staying abreast of regulations governing, maintaining, and dispositioning of medical records.

Utilize their extensive and detailed knowledge of medical terminology in order to review highly specialized medical information contained in VA and Non-VA reports that are not of a routing nature or standardized format in order to determine how to index or classify the report into Vista Imaging, CPRS, and FBCS.

Abstract information from health records, determine the type of record, and whether the document should be incorporated in electronic health record based on policy and procedures.

Performing timely, accurate, and 100% quality review of all medical and administrative scanned documents.

Responding to internal and external customers’ needs.

Training staff members, independently troubleshooting problems, and assisting with tasks in the scanning unit.

Being flexible in order to undertake a variety of miscellaneous duties, and assist in special projects assigned by supervisor or designee related to scanning department.

GS-04: One year of general clerical and administrative support work experience that indicates the ability to acquire the particular knowledge, skills and abilities (KSA’s) to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Examples of clerical and administrative support work experience includes but is not limited to: Progressively responsible clerical, office; scanning documents; maintaining file system; tracking and locating files; establishing priorities and meeting timelines; learning and applying administrative policies and procedures; using computer software programs; or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled. Such experience could have been gained in a position where the individual performed filing and clerical duties associated with files.

GS-04: Two (2) years of education above high school; which must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. Two (2) years of full-time academic study is defined as 60 semester hours, 90 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 72 weeks in a business, secretarial, or technical school. It is the applicant’s responsibility to provide documentation or proof that he or she has met the applicable educational requirements for substitution. Physical Requirements: The work is basically sedentary, however some periods of standing and lifting of materials, supplies and moderately heavy boxes (may weigh up to 35 pounds) will be performed. While performing duties of this job, the employee is regularly required to sit and stand; walk; use hands to finger, handle, or feel; reach with hands and arms and talk or hear; Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
