Festival and Events Manager II

Develops themes and comprehensive, documented event plans for festivals, events and community promotion programs to further develop the festivals division of the Convention & Visitors Bureau. Provides continued input toward improving the festival and event activities, appearance and total guest experience.

Nature & Scope:

Under minimal supervision, assists with the overall development, planning, and coordination of festivals, events, and community promotion programs working with the Marketing Team to ensure appropriate branding and messaging objectives are met. Documents all processes and timelines for assigned festivals and events in a clear and concise manner. Coordinates with the Festival Director to develop appropriate budgets, festival layouts and operational needs. Maintains accurate databases for festival vendors, volunteers and community groups as assigned. Works with vendors, volunteers, community groups, and other City departments to further the goals of the Convention and Visitors Bureau.

1. Festivals and Events – Responsible for the development, planning,

preparation, and execution of one of the two major festivals. Develops

appropriate budget, layout and operational needs. Plays a major role in the
other festival, events and community promotion programs.

2. Coordinates with Marketing Team to ensure appropriate information is

communicated to meet marketing and public relations branding, messaging

and timelines.

3. Responsible for the vendor process working with the vendor chairman and

coordinating with the Festival Director regarding operational needs.

4. Researches and provides input to enhance festival aesthetics, activities and

programs working in conjunction with the festival team with the goal of

providing festival attendees with an improved experience.

5. Coordinates with the Sister City Program to ensure a successful experience for

our Sister City guests as it relates to festivals and events.

6. Customer Service – Handles festival related questions from vendors, suppliers,

citizens, visitors, and fellow employees in a courteous and efficient manner

whether by phone, e-mail, or in person.

7. Administration – Maintains accurate databases and backup files for festivals

and events. Documents all process and timelines relative to assigned festival

or event. Assists in maintaining events calendar and prepares related

documentation as required.

8. Provides input for the festival related pages of the web site.

9. Develops and maintains positive relationship with key city departments

involved in the execution of festivals and events.

10. Develops and maintains strong volunteer base, especially corporate group

volunteers.

11. Operates within the guidelines of each event’s budget.

12. Effectively manages time and resources to meet multiple project deadlines.

13. Liaison with various clubs and organizations as it relates to festivals and events.

14. Participates in other duties as assigned.

Required Skills:

Requires a minimum of three years event planning experience in a festival environment. Requires a 4-year college degree, preferably tourism related or an equivalent combination of education and experience. Work experience may be substituted for some college but work experience beyond the required three years does have to be in event planning. Must have excellent communication skills and a demonstrated ability to be a team player and work well in a fast-paced environment under tight deadlines. Must be proficient in Microsoft Word and Excel and skilled in the operation of computers and performing data entry as well as data base management with the ability to maintain accurate records and statistics.

Ideal candidate will possess artistic qualities that will allow candidate to analyze the festival grounds and visually conceptualize and sketch renderings of possible new elements. Elements could be although are not limited to: Theming experiences, festival signage, etc.

Knowledge of Texas Wine Industry and wineries is a plus.

Knowledge of office and business procedures, city policies, rules and regulations, applied health and alcohol laws and regulations.

Ability to organize and coordinate all sizes of groups and diverse types of events, enforce policies and procedures, make mature judgments, have regular and punctual attendance, work irregular hours and schedules. Willingness to physically participate in the set up and tear down of festivals and events.

Valid Texas driver’s license with an acceptable driving record as defined by City policy is required. Must pass a criminal, drug and credit background check.
